Summary of Duties:
Performs a broad range of administrative tasks for executive. Relieves the executive of most administrative details and tasks. Responsible for all scheduling, special meetings, preparing agendas and conference room care. Prepares confidential correspondence and maintains classified files. Performs other high level professional and administrative functions, including receiving visitors and scheduling appointments. Arranging executive travel services, which may require after-hours work, on occasion.
Executive will have outside of RK Industries, LLC. (RKI) work duties that will require executive assistance attention. These include assistance with arranging contractors, cleaners, potential shopping lists, arranging catering/bartenders for events, supplies, access to home and arranging dinner reservations and activities, when needed.
Primary Responsibilities:
- Always maintain 100% confidentiality.
- Admin
- Screens incoming calls and correspondence for executive and responds independently whenever possible.
- Composes and prepares confidential correspondence, reports, and other complex documents. (Discretion required).
- Setup company outings with customers and vendors.
- Organize programs, events, meetings, or conferences by arranging internal and external facilities (audio/video, beverage, food etc.), issuing information or invitations, coordinating speakers, and controlling event budget. This includes setup for a guest to insure meetings start on time.
- Prepares agendas, notices, meeting minutes and resolutions for corporate meetings.
- Conference room set up and clean up.
- Maintain extensive customer relationship management software files (Infor).
- Creates, analyzes, and maintains spreadsheet files.
- Help put together flow charts (MS Project and Visio) and process files.
- Responds to routine external correspondence.
- Types memos, purchase requisitions, payment requests and other department forms and documents.
- Prepares and submits monthly expense reports.
- Maintains confidentiality of all corporate, personnel, personal and research matters.
- Update required company information monthly.
- Performs any other duties as assigned.
Accountability:
- Position is friendly, professional, discrete, and highly confidential requiring finesse and high emotional intelligence. Very high discretion is required.
- Comply with all company policies and procedures.
- All employees are accountable for safety and health and are empowered to stop work if an unsafe condition is present. Employees should immediately notify their supervisor so that the hazard may be corrected.
- RKI employees and subcontractors are required to implement and maintain all safety and health systems practices including the training requirement of RKI orientation.
- Position is unsupervised on many occasions. Employee must be self-directed, and supplement required work for Executive with other office duties, as required. Based on workload, position may support other key personnel.
- Position is in the office and not work from home.
Professional Career Level:
- Indirect supervision.
- Fully competent in all conventional aspects of subject matter or functional area.
- Plans and conducts work requiring judgment in independent evaluation, selection, and substantial adaptation/modification of standards.
- Devises new solutions to problems encountered.
- Independently performs most assignments with minimal instruction.
- Receives guidance for unusual or complex problems and supervisor approval for changes in standards.
- 5 years plus of related experience.
- College graduate or equivalent combination of skills and experience generally expected for specified technical roles.
- Notary, public.
- Type above 75 words per minutes with high accuracy and reviewing skills.
Minimum Physical Requirements:
- While performing the duties of this job, the employee is regularly required to: stand, sit, talk, hear, and use hands and fingers to operate a computer, telephone, and a variety of office equipment.
- Occasionally may need to reach, stoop, or kneel.
- Specific vision abilities required by this job include close vision requirements due to computer work.
