The Senior Accounts Receivable Specialist is responsible for managing the organization's accounts receivable process to ensure timely and accurate collection of payments, and to assist Corporate Credit Manager in additional tasks when asked. This role requires a detail-oriented individual with strong analytical skills to maintain financial records, resolve billing discrepancies, and communicate effectively with clients.
DUTIES AND RESPONSIBLITIES:
- Monitor accounts receivable for assigned companies with focus on aging balances, customer comments, and follow-up activity.
- Contact customers regarding past due balances, obtain payment status updates, and help resolve billing, cash posting, credit and rebill, refund, and adjustment issues.
- Prepare and process daily bank deposits, cash posting batches, credit card payment batches, trade and miscellaneous deposits, and related bank logs.
- Maintain accurate AR records in Vista and related reports, aging spreadsheets, cash posting logs, invoice logs, billing reports, and virtual reports.
- Process monthly statements, approved write-offs, finance charge adjustments, warranty adjustments, intercompany billings, back charges, progress billings, and subcontractor vouchers.
- Support month-end close activities for cash and accounts receivable, including balancing cash posting logs, clearing accounts, and applicable AR close reports.
- Maintain UPS-related billing reports, invoice logs, virtual reports, job number issuance, job announcements, and MLBS tracking for all locations.
- Monitor NACM communications and coordinate with the Corporate Credit Manager on issues requiring review, approval, or follow-up.
- Serve as backup support for other companies aging reports, the Invoice Specialist, trade and miscellaneous deposits, and other assigned AR functions as needed.
- Assist the Modesto team with AR-related questions or issues and coordinate with IT on COMMAND, Vista, APEX, or other system-related issues for assigned companies.
- Complete additional projects, reporting, administrative tasks, and assigned AR functions as trained and directed by the Corporate Credit Manager.
QUALIFICATIONS:
- Experience with Vista by Viewpoint accounting software preferred.
- Proficient in Microsoft Excel and Word; 10-key by touch preferred.
- Strong knowledge of accounts receivable processes, basic accounting principles, billing, cash application, credit, and collections practices.
- Strong organizational and time management skills, with the ability to prioritize work, meet deadlines, and manage multiple tasks accurately.
- High attention to detail and accuracy when reviewing financial information, customer accounts, reports, and supporting documentation.
- Strong problem-solving, research, documentation, and reconciliation skills.
- Ability to communicate professionally and effectively with customers, vendors, team members, managers, and other departments.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive customer, credit, and financial information.
- Reliable, self-motivated, and able to work independently or collaboratively in a team environment.
- Ability to follow established procedures, maintain organized records, and support process consistency.
- 2+ years of accounts receivable/ accounting experience
- High school diploma required, college courses in accounting preferred
