Role Summary
Reporting to the Manager, Office Administration, the primary responsibility of this position is to assist the Manager, Office Administration with the day-to-day management of the Vancouver office. The Office Coordinator will also be accountable for assisting with special projects including office digitization, events, office renovations, and presentation consolidation. This position will work with a wide variety of functional areas and teams including Executives, departmental heads, external advisors, consultants, vendors and other third parties.
The successful candidate will have excellent organizational, interpersonal, problem solving, and communication skills. They should also be passionate, committed, have strong attention to detail, while at the same time being coachable and open to new approaches to solution projects. They should have previous experience as a corporate receptionist or administrative assistant.
This role has a requirement to be in office 5 days a week.
Core Responsibilities
Visitor Management – 10%
Manage the reception area including:
- Greeting and managing guests and visitors
- Answering and transferring of incoming calls; taking messages when required
- Ensuring the reception area represents the Pure brand i.e., clean desk, organized coat closet, clean boardrooms
- Manage hoteling stations
Office Administration – 75%
- Refill and restock kitchen supplies; empty / fill the dishwasher when necessary
- Monitor office supply inventory
- High volume mail and courier management
- Processing Invoices
- Printer Management
- IT Support
- Activate and track access passes for Vancouver Office
- Manage file and storage room including:
- General organization
- Filing of e-documents on Box
Administrative Support - 15%
- Scheduling of meetings
- Calendar Management
- Manage multiple shared inboxes
- Create PowerPoint Presentations for Office Administration and Human Resources departments.
- Assisting with company-wide and office meetings including securing venues, catering, suppliers etc.
- Submission of monthly expenses in Concur
Required Skills and Experience
- Strong Microsoft Office skills – Outlook, Word, PowerPoint, and Excel
- Excellent communications, multi-tasking, and interpersonal skills
- Able to ramp-up quickly and take initiative; excels in a dynamic environment
- Previous Corporate Receptionist or Administrative experience required
- Real Estate experience preferred
