About the Department
The Development & Philanthropy Department leads the creation and execution of NYRR’s annual plan to secure financial support from individuals, foundations, and corporations. The department is responsible for expanding and diversifying the organization’s funder base, furthering the potential for future fundraising efforts, and the retention of the growing base of donors. Our NYRR Team for Kids (TFK) team oversees the TFK program of adult runners who commit to fundraising for NYRR youth and community programs. Our NYRR Membership team leads our membership program which enhances runners’ engagement with the running community and their experience at NYRR events. 
 
About the Position
The Director, Development Administration, leads strategic direction on development data, processes and automation and implementation of long-term systems for data management for the organization. This position leads the department’s efforts in collecting and reporting on donor data, tracks and produces financial reports on all revenue collected, and helps in identifying potential donors. 
Job Responsibilities (primary and secondary duties):
  • Serve as the Development and Philanthropy lead for data management including but not limited to: 
    • Lead development and implementation of strategy related to donor database (Salesforce) and program data (Haku) 
    • Serve as liaison with IT team and Finance to ensure the system and our processes are functioning optimally   
    • Ensuring smooth functioning of development donor database, updating and cleaning records and devising data entry and coding protocols, 
    • Producing reports on donors and revenue upon request, ensuring financial alignment with company general ledger; reconcile general ledger monthly, 
    • Overseeing and reporting weekly and monthly on all donation intake portals, and supplying additional financial/donation reports as deemed necessary.  
  • Oversee Donor Stewardship from planning through implementation including assisting the department in planning and executing donor cultivation and fundraising events. 
  • Oversee monthly reconciliation and reporting. 
  • Oversee match giving process using Double the Donation and company portals to approve and process corporate match gifts. 
  • Work with finance to prepare annual 990. 
  • Supervise Development Administration Lead and part-time support:  
    • Preparation of large data lists for gift processing, 
    • Assist with database maintenance/conversions, 
    • Assist with donation tracking process, 
    • Process incoming check and credit card donations; enter into donor database; prepare timely acknowledgement letters; and perform other tasks associated with donation entry and tracking, 
    • Help prepare donation deposits, 
    • Assist with collection of matching gifts, and 
    • Provide overflow support for the department as needed. 
  • Support larger Development team during race week and race day at NYRR Marquee Events (United Airlines NYC Half, RBC Brooklyn Half, and TCS New York City Marathon) and several departmental events throughout the year, in both planning and by working these events (some evenings and weekends required). 
 
Job Requirements:
Experience:
  • 5 years previous related experience 
 
Education & Certifications:
  • Bachelor’s degree preferred 
  • Salesforce Certification preferred 
 
Skills and Attributes:
  • Power user of Salesforce or other similar donor database with the ability to both develop and guide strategy and to execute in the system on a day-to-day basis 
  • Superior organization skills, attention to detail, and ability to juggle multiple projects and frequent deadlines 
  • Excellent written and verbal communication skills 
  • Tact, diplomacy, and discretion 
  • Ability to provide a superior customer service experience 
  • Flexibility and the ability to work independently as well as collaboratively with staff across divisions 
  • Knowledge of fundraising and development practices, standards, and reporting 
  • Knowledge of budgeting processes 
  • Ability to perform in a fast-paced environment and perform under pressure 
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook)
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Ability to work occasional weekends or evenings

Other Requirements:
  • All staff are required to work the United Airlines NYC Half Marathon, RBC Brooklyn Half Marathon, and the TCS NYC Marathon.
  • Operate on a hybrid schedule, with two days per week in the NYRR office in NYC.
