Position Summary:

The Registrar provides leadership, vision, and hands-on management for Registration functions for all school, family and professional development programs in the Children’s Education department. The Registrar is expected to maintain a high degree of technological understanding for all functions performed in the department. The Registrar participates and leads strategic initiatives to support enrollment and registration goals for Children’s Education programs including, but not limited to, oversight of scheduling, enrollment, student records, attendance data and payment reconciliation, along with the communication and policies that impact these areas with internal and external stakeholders. The Registrar supervises a year-round part-time Registration Coordinator and up to 4 seasonal greeters who facilitate the efficient and effective execution of programs and activities.

 

The Registrar works to develop a culture of excellence for services provided to both students and colleagues. This position requires a high degree of professionalism, confidentiality, efficiency, and customer service.

 

 

 

Specific Duties & Responsibilities:

  • Register and provide information to school and family audiences
  • Provides logistical oversight and support for school groups entering and traversing the Garden grounds, including close communication with colleagues in Children’s Education, Visitor Experience, and Security to ensure a safe and positive experience for all guests
  • Process and send invoices, confirmations, and schedules to potential participants, when necessary
  • Process and collect program payments, when necessary
  • Trains and supervises part-time Registration Coordinator and seasonal Greeters
  • Interacts with Visitor Experience staff and provides school visitation count weekly; receives and records family visitation count weekly from Visitor Experience
  • Manages Registration budget
  • Reconciles monthly payments and submits to finance in a timely fashion
  • Maintains weekly, monthly, and annual statistics for school and family programs; maintains cancellation records and other visitation records as needed; analyzes statistics to identify trends
  • Writes and modifies the registration portion of the department-wide procedures manual
  • Writes and maintains registration procedure manual to provide for coordination between Visitor Experience and School Office
  • Supervises the maintenance of mailing lists, program information, registrations, and facilities availability on the registration database
  • Monitors registration systems to identify system problems and coordinates solutions with Information Technology, including large-scale changeovers to potential new software systems

 

Qualifications:

  • Bachelor’s Degree required, Master’s preferred
  • 3-5 years of experience managing education and/or registration records in higher education or non-profit setting
  • Strong experience with Student Information System databases
  • Strong computer skills especially Excel required, CRM database experience also helpful
  • Strong problem-solving with team-work focused approach
  • At least two years supervisory experience in registration or customer service capacity
  • Exceptional time management and organizational skills, sharp attention to detail.
  • Ability to balance multiple projects in a fast-paced, dynamic environment
  • Ability to exercise discretion with confidential information, support legal compliance with a strong understanding of FERPA (Family Educational Rights and Privacy Act), academic process, and data security best practices.
  • Driver's license required. 

 

Physical Demands & Work Environment:

 

While performing the duties of this position, the employee is required to, at minimum, stand; walk; sit. The employee must be able to lift and/or move up to 25 pounds. Work outdoors under a variety of weather conditions.

 

 

Baseline Work Schedule:

Monday-Friday, 8am-4pm

 

Salary is commensurate with experience within the range of $67,500-$75,000.
