About the role
This position works in collaboration with academic and professional colleagues to provide effective and efficient administrative support to ensure the smooth operation of the School of Nursing and Midwifery’s daily operations. The role involves assisting with a wide range of administrative functions, including student support, staff coordination, scheduling, and resource management and plays an is integral part in maintaining effective communication within the School and with external stakeholders, supporting the operational needs of the School of Nursing and Midwifery. This position will report to the Admin Coordinator, working under routine supervision.
Key Responsibilities
- Provide effective and efficient administrative support within the School of Nursing and Midwifery.
- Coordinate meetings, prepare minutes and organise correspondence for meetings.
- Work accurately with detailed information; including data entry, maintaining spreadsheets, managing correspondence, collating data for reporting and prepare a range of written communication.
- Deliver exceptional customer service to students and University stakeholders by supporting front desk reception coverage. Provide assistance to students and staff in person, over the phone, and via email, ensuring prompt and effective communication in response to inquiries. Support and maintenance of internal databases and registers and management of day-to-day requirements of the School.
- Assist with the preparation of reports and analysis, including course enrolment statistics, academic performance, and departmental budgets.
- Assisting the School Manager, Admin Coordinator and Senior Administrative Officers with the administration of policies, procedures, guidelines and forms as well as raising and receiving of purchase orders.
- Assist with the preparation, proofing, and formatting of academic papers, reports, presentations, departmental communications including emails, memos and notices as well as other documents as required by faculty or department heads.
- Liase with various leaders across the School, University departments, and external stakeholder to ensure collaboration and compliance.
- Provide clear and professional responses to inquiries, and act as a liaison between students, faculty, and other university departments.
- Comply with all other reasonable training and duties as identified by the line manager (or delegate).
- Comply with University policies and procedures in all aspects of their work and conduct.
Qualifications, skills & experience
- Completion of a diploma level qualification, or an equivalent combination of relevant experience or
- Completion of a Certificate IV with relevant work experience, or
- Completion of a Certificate III with extensive relevant work experience, or
- An equivalent combination of relevant experience and/or education/training.
- Demonstrated administrative experience, preferably in tertiary or other education sectors.
- Demonstrated competency in various software packages including Microsoft Office Suite (Word, Excel, Viso), Adobe, In-Design and relevant administrative systems.
- Well-developed communication (oral and written) and interpersonal skills with a strong customer focus and the ability to liase effectively with tact and discretion, with a diverse range of stakeholders both internal and external to the University.
- Good analytical skills to identify and resolve issues, anticipating potential problems.
- High level accuracy and attention to detail in data management, document preparation and handling, ensuring compliance with record-keeping standards, and processing financial transactions, including invoicing, purchase orders, and data entry into financial systems to monitor departmental expenses.
- Ability to exercise initiative and judgement as appropriate, and work in a flexible and dynamic environment with competing priorities to meet deadlines.
- Ability to work effectively in teams and collaborate across multifunctional teams, providing a high level and responsive service.
- Proven record of preparing high quality documentation with excellent accuracy and attention to detail.
