Overview:
 
The Vendor Management Analyst is responsible for managing the firm-wide vendor management program, including vendor onboarding, ongoing oversight and annual due diligence facilitation. This role involves working closely with Vendor Relationship Owners (VROs), contract management staff in Legal, and Risk Partners in Finance, IT, and Legal to ensure adherence to the Vendor Management Policy. Additionally, the analyst will oversee compliance with the firm’s RFP policy, assist VROs with RFPs, as needed, and coordinate efforts to promote and retain diverse suppliers. This role may include assisting the Business Continuity Coordinator with the firm’s business continuity program.
 

What you will do:
  • Master our vendor management tool, KY3P, and serve as the primary system administrator; stay abreast of all system enhancements and serve as the Natixis liaison with KY3P staff.
  • Manage the onboarding workflow for new vendors and existing vendor renewals.
  • Manage VRO oversight activities including the annual internal vendor assessment process.
  • Manage the annual due diligence questionnaire process for Tier 1 vendors annually and Tier 2 vendors biennially.
  • Coordinate VRO reassignments when necessary.
  • Develop materials for annual VRO training sessions, ensuring VROs are proficient in implementing responsibilities.
  • Promote diverse supplier efforts through staff awareness and active participation in related industry organizations (i.e. CWE, WBENC, GNEMSDC). Encourage vendor searches to include diverse supplier options.
  • Facilitate the annual review/update of the firm’s Vendor Management Policy.
  • Oversee the firm’s RFP policy, assist VROs with RFPs and work with Legal Administration to ensure compliance.
  • Manage critical documents on the Vendor Management SharePoint site and within KY3P.
  • Prepare quarterly management reports and the annual CRIC vendor management report.
  • Perform governance testing to ensure ongoing data quality.
  • Build positive relationships with VROs and assist with vendor oversight, including, vendor selection, contract negotiation, performance discussions and terminations.
  • Identify vendor commonalities/operational efficiencies and propose solutions to management.
  • Assist with administration of periodic vendor management projects.
  • Collaborate with Finance, Legal, IT and other partners in the procurement process.
 
What you will bring:
  • Bachelor’s Degree or equivalent work experience with direct vendor management systems.
  • Strong project management skills.
  • Ability to work independently with minimal direction in a fast-paced environment.
  • Strong attention to detail/organizational skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office products (MS Word, Excel, PowerPoint, and SharePoint).
  • Proclivity to learn new systems/concepts quickly.
