What We Need
The Executive Assistant (EA) provides high-level administrative and strategic support to the CEO and select senior executives across multiple time zones. This role is focused exclusively on executive support and requires exceptional attention to detail, sound judgment, discretion, and the ability to operate independently in a fast-paced environment with competing priorities and tight deadlines.
The EA serves as a key partner to the CEO, enabling effective decision-making and time management, and supports seamless communication within the Executive Leadership Team and across the company.
KEY DUTIES AND RESPONSIBILITIES
Executive Support
- Provide dedicated, high-touch support to the CEO and select senior executives (VP through C-level), both onsite and remote
- Act as a trusted partner to executives, anticipating needs and proactively resolving scheduling, communication, and logistical challenges
- Manage complex, dynamic calendars with a strategic view of priorities, balancing immediate changes with weekly, monthly, and quarterly commitments
- Coordinate domestic and international travel, lodging, and transportation in compliance with T&E policies, including preparation of required international travel documentation
- Reconcile corporate and personal credit card charges, collect receipts, and prepare and submit expense reports in Concur
Communication & Coordination
- Coordinate internal and external communications on behalf of executives
- Draft, edit, and compose professional correspondence, including emails, letters, agendas, and presentations
- Track communications with key stakeholders and identify follow-up actions to ensure timely execution
- Screen and prioritize incoming correspondence and requests, exercising discretion with sensitive and confidential matters
- Compile, organize, and prioritize documents and materials for executive review and decision-making
Leadership & Company Support
- Support executive-led employee communications to strengthen engagement, alignment, and transparency across the organization
- Prepare agendas and materials for town halls and company-wide meetings in collaboration with Human Resources and other stakeholders
- Coordinate on-site and off-site events, ranging from small executive meetings to large company-wide events, in partnership with the administrative team
SKILLS AND EXPERIENCE
- 7+ years of experience in an executive administrative role with significant scheduling and communication responsibilities
- Minimum of 2 years supporting C-level executives in a fast-paced, high-growth environment
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
- Strong experience managing complex calendars and competing priorities across time zones
- Experience with Concur Travel and Expense strongly preferred
- Project management and event coordination experience a plus
EDUCATION
- Undergraduate degree in Business Administration or equivalent a plus
COMPENSATION
Kymeta is committed to fair and equitable compensation practices. In the spirit of pay transparency, we have determined the salary range for this position to be $80,000 – $140,000. This is the full base salary range for the role. Hiring at the maximum of the range would be atypical, in order to allow for future and continued salary growth. Compensation packages are based on a variety of factors unique to each candidate, including but not limited to: skill set, years and depth of experience, certifications, and geography. The total compensation package for this position includes an annual target bonus of 10%, stock options, and benefits listed below. We believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.
