Administrative Executive Assistant

 

Job Summary

KAI Partners is looking for a dynamic and motivated Executive Administrative Assistant. This role will provide administrative support to ensure efficient operation of the office. This role will support executives through a variety of tasks related to organization and communication. This position requires excellent written and verbal communication skills as well as top notch organizational skills to ensure a smooth efficiency of the executive office.


Responsibilities:

  • Schedule meetings, manage calendars, notify appropriate staff of changes, create agendas, taking meeting minutes and coordinating office activities
  • Coordinate travel, prepare itineraries, and maintain travel requirements
  • Triage telephone calls and visitors
  • Project Management; managing multiple projects
  • Monitor and order inventory and office supplies
  • Manage multiple calendars
  • Direct visitors for meetings and appointments as identified
  • Produce a variety of documents, such as letters, reports, spreadsheets, databases, and graphs
  • Prepare and review routine correspondence and reports
  • Maintain electronic and paper files and records
  • Project Administration
  • Perform clerical procedures and other administrative work of the organization
  • Perform other duties as assigned

 

Skills and Qualifications:

  • Ability to communicate effectively, both orally and in writing, using tact and courtesy
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Knowledge of correct grammar, spelling, punctuation, capitalizations, and format to accurately prepare and edit written correspondence and reports
  • Knowledge and experience critical thinking and problem-solving skills
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
  • Solid experience in tools such as Teams, Trello, Slack, Google Docs, Google Sheets
  • Strong Project Management skills (mandatory).Ability to multitask multiple projects
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
  • Maintain compliance with all company policies and procedures
  • Must multi-task with an appropriate sense of urgency
  • Must be proficient in typing
  • Must be able to communicate effectively with executives and leadership
  • Professionalism is a must
  • Knowledge of various office automation software programs, tools, and techniques to support office operations
  • Knowledge of format, rules, procedures, and operations applicable to clerical assignments

 

Work/Education Experience:

  • High school diploma or GED required
  • Bachelor’s degree preferred
  • 3-5 years of administrative/clerical experience preferred
  • 3-5 years of experience with creating reports, spreadsheets and graphs required
  • 5-10 years of providing customer service preferred

Physical Requirements: Minimal travel may be required for this role.
