Fingerpaint Group is seeking an executive assistant with a minimum of 3 years of experience to support our advertising group executive team.
 

In this position, you will be responsible for managing the schedules, communications, and small projects for key executives (up to 4 people,) and you will also play a critical part of the group’s culture by organizing virtual and in-person events and creating engaging activities for employees with support from leadership. To be successful, you need to be the type of person to take the bull by the horns to accomplish tasks while having unwavering optimism, flexibility, and organization. You must have a social personality with excellent communication skills, as this is an internal/external customer service role.   

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members and to the culture by having a fun and engaging outlook. 

Duties/Expectations 

  • Perform various administrative functions, including calendar support and expense and time tracking for office leadership. Other administrative functions will also be required at the discretion of leadership, many of which require a high degree of responsibility and discretion 
  • Proactive management of executive calendars, often requiring quick turnarounds and collaboration with multiple stakeholders and other administrative assistants to re-arrange meetings last-minute 
  • Be the leader of the culture club and collaborate with the staff who make up the committee to develop a schedule of engaging events (local and virtual) 
  • Easily pivot while thinking 3 steps ahead to ensure that everything is place for the leadership team 
  • Work with IT to become fluent in the technologies used within the Ad Group 
  • Format information for internal and external communication: memos, emails, presentations, reports 
  • Coordinate travel for leadership through American Express Global Business Travel, maintaining flexibility as plans shift, often with little notice 
  • May also have office-related responsibilities for our temporary space in Chesterbrook, Pennsylvania, and/or Bay Area, California 
  • Scheduling catering 
  • Tracking office usage 
  • Providing employees access to the space, as needed 
  • On-site support for client meetings (Chesterbook, Pennsylvania only) 
  • Contract manager, tracking renewal timing, etc (Chesterbrook, Pennsylvania only) 

Job Requirements 

  • 3 years of experience as an executive assistant, personal assistant, or similar role, preferably in an agency or similar type of fast-paced, creative environment 
  • Excellent MS Office knowledge 
  • Calendar management; knowing how to juggle a calendar, move items around  
  • Managing and reconciling corporate credit cards for office leads  
  • Booking travel for multiple employees, as well as experience dealing with a travel agency vendor  
  • Being comfortable engaging with office leads and other executive leaders
