Deliver Warm Client Inbound Support: Promptly and empathetically answer high-volume incoming phone calls and resolve frequently asked questions (FAQs) regarding clinical services, pre-appointment preparation, and timing.
Manage Multi-System Appointment Scheduling: Accurately book, reschedule, and confirm client appointments across two dual appointment booking and scheduling systems.
Provide Pre-Appointment Guidance: Clearly instruct clients on essential pre-visit requirements, including fasting, appropriate attire, arrival times, and clinic directions.
Handle Social Media & Digital Enquiries: Respond to incoming customer inquiries via social media channels in a timely, professional, and on-brand tone.
Execute Triage & Escalation: Recognize when complex client or clinical queries require specialist input and efficiently route them with clear contextual notes.
Optimize Client Operations: Identify recurring client questions, flag friction points, and contribute proactive solutions to enhance the FAQ knowledge base.
Exceptional written and verbal English communication with an empathetic, clear, and professional tone.
Proven experience handling high-volume incoming customer service calls with composure, accuracy, and patience.
Familiarity with managing calendar systems, appointment booking software, or multi-diary management.
Strong attention to detail, active listening, and a genuine passion for delivering a high-satisfaction patient experience.
High adaptability to learning new software, dual diary management tools, and digital contact channels.
Prior experience in a medical, clinical, podiatry, chiropractic, nursing, or allied health practice setting.
Hands-on experience answering customer service inquiries on social media channels.
Experience working remotely supporting healthcare or medical clients in Australia, New Zealand, or the US.
