Job Summary:

The Patient Account Representative is a member of the MFM-P team, whose primary responsibilities include scheduling appointments, greeting patients, maintaining patient records, performing basic telephone triage, posting patient charges (in absence of Clinic Manager), and providing administrative duties as needed.

Primary Duties:

1.      Provides effective administrative support to the Maternal Fetal Medicine team.

2.      Greets/checks in patients and obtains necessary information for billing purposes and completes registration.

3.      Performs related clerical duties including pulling and preparing chats, filing, copying, etc.

4.      Answers phones and in-person inquiries for scheduling, billing, etc.

5.      Handles incoming interoffice phone calls/inquiries taking complete messages.

6.      Notifies and/or reschedules patients or visitors ahead of time, if M.D. or other clinical staff is running behind schedule or emergencies arise.

7.      Assumes daily opening and closing duties as needed.

8.      Performs correct billing procedures to insure accuracy for both vendor and patient accounts.

9.      Billing of ICD-9 / 10 and CPT codes, entering 3M coding.

10. Obtains insurance pre-authorizations.

11. Reconciles denials and audits.

12. Posts charges accurately within 5 days of service and sends copies of charge documents to medical records for diagnosis coding.

13. Notifies the clinic manager of any authorization difficulties or patient financial hardships.

14. Answers phone calls and in-person inquiries for scheduling, billing, etc.

15. Handles incoming interoffice phone calls/inquiries taking complete messages.

16. Verifies complete medical records for daily visits, ensuring necessary forms are in the charts.

17. Verifies all insurance including Medicaid patients daily for the current month for all visits.

18. Accountable for following the guidelines for attendance, punctuality, and overall dependability.

19. Accountable for effective performance and follow-through of all assigned responsibilities and for completing responsibilities within designated (or agreed upon) timeframes.

20. Completes responsibilities in a manner consistent with organizational policy, goals and values

21. Responsible for the “Accountabilities” associated with this position in support of the organization

22. Performs other duties as assigned.

License, Certification, Education or Experience:

REQUIRED for the position: 

·         High School graduate or equivalent

·         Two (2) years of office support experience

·         Typing 50 WPM

·         Strong organizational skills

·         Ability to multi-task and attention to detail

DESIRED for the position: 

·         Experience in a medical of hospital environment

·         Medical terminology
