Position Summary
Copa Health is seeking an Office Manager to partner closely with the Program Director to oversee the non-clinical operations of the outpatient site. This position provides leadership and operational oversight to front office support staff and benefit specialists, ensuring efficient workflows, regulatory compliance, revenue integrity, and an exceptional member experience. Under the general direction of the Program Director, the Office Manager performs work of considerable responsibility involving the planning, coordination, supervision, and evaluation of administrative operations. This role assigns and reviews work of support staff, ensures alignment between front office and clinical operations, and promotes accountability to organizational standards.
Key Responsibilities
- Responsible for the facilitation of client admissions, scheduling of treatment sessions and maintaining clinical records.
- Serve as the point of contact for outside vendors, contractors, etc. and ensures outpatient location has supplies and equipment as needed. Demonstrates exceptional customer service skills and ensures front office staff demonstrate customer service approach consistent with Copa Health’s core values.
- Collaborate with clinical staff and providers to ensure optimal client care.
- Works closely with office staff and/or benefit specialists to verfiy elligibility, collect and update insurance information, and coordinate benefits, and collect co-pays.
- Generates confidential reports and manages tracking logs using both manual and computerized processes for various clinical administrative requirements.
- Enters and maintains client data including re-openings, closures, transfers, caseload changes and affiliation of staff to thManages overall scheduling practices for staff in scheduling system including creating schedule templates, managing automated reminder calls, and monitoring no-shows.
Qualifications
- Requires High School Diploma/GED. Associates Degree in Business Administration or Office Technology preferred.
- Minimum of five (5) to eight (8) years’ experience in office clerical setting, with one (1) or more years of supervisor experience required. Medical and/or Behavioral health experience preferred.
- Must have a fingerprint clearance card issued by the AZ Department of Public Safety or eligible to receive one within eight (8) weeks of hire
- TB Test clearance required at the time of hire
