Chief Carriers is seeking a ​​Maintenance Service Writer and Parts Coordinator to join the Chief team. This position will provide the Maintenance Department with administrative support and coordinate all aspects of daily maintenance operations, including recording and reporting data. Work with drivers and technicians on repair schedules, schedule internal PM and repair of fleet equipment. Work with vendors for parts and supply purchasing, documenting and inventory control.
 
Education:  
  • ​​High school graduate or equivalent 
 Experience: 
  • ​​Strong proficiency with Microsoft Excel, Word, and other computer programs 
  • Basic clerical and math skills; able to maintain speed and accuracy in data entry 
  • Experience in parts inventory management, equipment maintenance preferred 
  • Knowledge of diesel Fleet Maintenance or Repair Shop Environment including the exposure and experience to the technical aspects of trucks, trailers and associated equipment preferred 
  • Able to give attention to detail, good telephone and interpersonal skills, high integrity, excellent business ethics and dedication to the position, department and company 
  • Ability to thoroughly learn complex software programs with little or no supervision 
  • Ability to prioritize work and meet deadlines 
  • Detail oriented and able to handle multiple assignments with little or no advance notice 
  • Must be comfortable working in a transportation maintenance shop environment 
Essential Duties and Responsibilities:  
  • ​​Perform administrative and reporting support necessary for the operation of a transportation maintenance department requiring independent judgment, confidentiality and decision-making based upon broad, general guidelines. 
  • Perform routine data entry duties including processing accounts payables. 
  • Initiate and bill applicable labor, parts, supplies, processes repair order, and update maintenance and repair tracking mechanisms. 
  • Maintain accuracy of inventory of parts, lube, supplies and securement equipment. 
  • Give high attention to drivers for purposes of scheduling maintenance and repairs and supplying their needs for the truck and cargo securement. 
  • Prepare purchase orders, order parts and supplies. 
  • Initiate parts warranty including cores and track until credit received.  
  • Receipt of vendor parts and repair invoices, entry, reconciling, and transmitting to accounts payable. 
  • Support the Maintenance Department with analysis of fleet maintenance reports. This includes analyzing data, identifying trends and correcting mistakes where appropriate. 
  • Liaison with Maintenance, Operations and Safety departments for the purposes of scheduling fleet vehicles into company shop or vendors for repair and maintenance. 
  • Initiate, process, and close repair orders (RO). Update equipment maintenance and repair tracking mechanisms. 
  • Prepare, match, and track purchase orders. 
  • Assist in monthly and year-end close. 
  • Maintain up-to-date, orderly and accurate and security of equipment files. 
  • Will be involved in analyzing data and workflow and identify opportunities for improvement. 
  • Assist the Shop Foreman, Maintenance Manager, and Controller in various duties. 
  • Encourage compliance with company policies and procedures.
