About the Job
The Admissions Operations Office Coordinator provides operational and administrative support to the College of Undergraduate Studies (CUS) Admissions team and contributes to the overall efficiency and effectiveness of the enrollment process. This position manages core back‑office functions, including evaluation of transfer credit, processing of documents, coordination of communication workflows, preparation of acceptance correspondence, and oversight of the Admissions front desk to ensure excellent customer service to prospective students.

We're looking for candidates who have
- Bachelor's degree from an accredited institution preferred.
- Two to three years experience working in Christian higher education preferred.
- Polished customer service, organizational, and record-keeping skills.
- Proficiency with computer software, especially MS Word, MS Excel, MS Outlook, and a basic understanding of computer databases.
- Experience with Salesforce, Parchment, and Colleague is a plus.
- Exceptional written and verbal communication skills (demonstrated ability to communicate effectively by phone, by e-mail, by memoranda, and in person).
- Self-starting and self-motivating skills.
- Ability to balance multiple tasks in a fast-paced environment, especially during high-demand periods of a semester.
- Ability to adapt quickly and cheerfully to changing priorities and processes.

Mission Contribution
CCU provides Christ-centered higher education to transform students to impact the world with grace and truth. The Admissions Operations Office Coordinator contributes to this mission by assisting the admissions staff in expertly creating and managing reports to help the department establish a growth-oriented strategy. In CUS Admissions, the application process is the gateway for prospective students to explore CCU’s academics and spiritual formation, and God’s leading for their higher education and calling. In this role, the Coordinator also oversees the Admissions front desk, ensuring that all phone calls, emails, and walk-in visitors are welcomed promptly, warmly, and professionally.
Admissions Operations and Data Processing
- Evaluate prospective students’ transcripts and related documents to determine transfer credit eligibility according to established university policies and program requirements.
- Process applications and all supporting documents, ensuring accurate and timely entry into the admissions/CRM and student information systems.
- Monitor application files for completeness, track outstanding items, and work with admissions counselors and applicants to resolve missing or incomplete documentation.
- Maintain accurate, confidential, and organized electronic and physical records for all applicants in compliance with university and FERPA guidelines.
- Manage, and process automated and manual communication flows to prospects and applicants (emails, letters, texts, and notifications) in collaboration with CUS Admissions leadership and Marketing.
- Prepare, quality‑check, and mail acceptance packets and other official admissions correspondence, ensuring accuracy, consistency, and a welcoming tone that reflects CCU’s mission.
- Assist with the development, testing, and maintenance of communication templates, campaigns, and workflows within the admissions CRM.
- Oversee the Admissions front desk, ensuring that phone calls, emails, and walk‑in visitors are greeted promptly, warmly, and professionally.
- Train and coach front‑line staff and student workers on customer service standards, phone etiquette, basic admissions information, and processes for routing inquiries to the appropriate team members.
- Develop and maintain front desk procedures, call scripts, and FAQs that help visitors feel welcome and supported from their first point of contact with CCU.
Administrative Support and Collaboration
- Provide administrative support to the AVP of Traditional Enrollment, Assistant Director of Operations, Associate Director of Events and Visits, and the Associate Director of Recruitment.
- Prepare invoices for Accounting and create requisitions and purchase orders.
- Track, process, and organize all aspects of the budget process including purchase requests, online budget data entry, and maintaining the budget database for the department.
- Provide general office support including ordering office supplies and stationery.
- Coordinate the mail for the department, and act as a liaison in the copier, paper, and office supply area. This will include mass mailings to prospective student groups in Admissions.
- Manage CUS Admissions Inbox to stay up to date on student transcripts/application items, vendor payments/contracts, data integrity reports, and general office communication.
- Maintain vendor records regarding past and future payments and due dates.
- Other duties as assigned.
Work Environment
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. Requires sitting at a desk, working on a computer, and conducting phone conversations for extended periods. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends.

Colorado Christian University’s pay philosophy is based on internal and external data for pay equity; along with budgetary considerations for effective stewardship. Pay will be assigned based on relevant experience at a range of $18.00 to $20.00 per hour. We reserve the right to pay an equitable rate that we believe is within our salary structure or that may fit a candidate’s qualifications or experience for the job. A wage range posted is not a guarantee of a specific wage range for a job offer. - Regularly attend and be engaged in meaningful involvement in a Bible-believing evangelical local church. Knowledgeable about the Word of God and passionate about Christian education.
- Must be a traditional evangelical Christian whose lifestyle is in consonance with sound Christian principles, is compatible with CCU’s Statement of Faith, and is in agreement with the Strategic Priorities promulgated by the University.
