Position Summary: Reporting to the Director of Development and working as a donor relations partner with the Chief Development Officer, the Development Associate collaborates closely with colleagues to execute on all development and marketing programs promote donor engagement in the work of Caminar. The Development Associate will have an integral role in achieving the organization’s individual donor fundraising goals. The Associate will provide essential support that promotes strong donor relationships, donor meeting scheduling and preparations, donor activity record and profile management. A commitment to high quality customer service and data entry skills are imperative. This role will provide a rewarding opportunity to leverage excellent relationship building and stewardship, process management, ability to analyze donor data and trends, and prepare summary reports for colleagues, executive leadership, and Board members. Essential Duties & Responsibilities: 
  • Enjoys and flourishes in a highly communicative role with donors, staff and Board members, and other volunteers; frequent phone calls, emails, events and occasional in person meetings.
  • Strong project management skills; gathering and tracking data; preparing reports from data which include in-depth narratives; briefing team members and executives on confidential financial information and donor moves management activities.
  • Support all donor database activities as needed, including documenting procedures and ensuring data quality standards are met. Ensure consistency and cleanliness of data in the CRM.
Gift Processing and Acknowledgements:  
  • Support the Development Manager with seasonal gift processing and acknowledgments for all gifts from individuals, corporations, foundations, and community organizations.
  • Support the Development Manager with gift acknowledgement letters, receipts, and pledge reminders. Provide supporting information to management for personalized donation-related correspondence.
  • Respond to requests for information from donors, volunteers, and staff in a professional and timely manner.
Reporting and Fundraising Analytics:
  • Strategize with team for targeted communications, appeals, and outreach efforts to donors
  • Work closely with the Director of Development and the Development Manager to support the department in prospective donor research and data analysis.
  • Develop systems and successfully implement procedures for effectively tracking pipelines of donors and facilitating information maintenance.
  • Provide insights to inform strategy, planning, and execution of projects.
Administrative Support:
  • Export reports and lists for donor meetings, outreach, and stewardship activities. Support the delivery of high-quality donor services and volunteer relations.
  • Support event registrations and any follow-up (surveys, letters, emails, reporting, etc.). Participate on event planning committees and support event production.
  • Conduct prospect research as requested.
  • Complete and submit accurate time sheets and absence reports to management in a timely manner.
  • Perform other administrative duties as assigned. 
 
 
Qualifications & Skills: 
  • Must be passionate about Caminar's mission.
  • Perform all functions with a high degree of accuracy, confidentiality, and ability to represent the organization in a positive manner at all times. Must have strong computer skills, including experience with Microsoft Office (Word, Excel, Publisher, etc.), mail merge, and Google Docs. Customer relationship management (CRM) database experience is required.
  • Interest in fundraising, and relationship management. Two years of related professional experience preferred. Prior experience in fundraising highly preferred; experience in marketing, sales, or customer service preferred.
  • Must have excellent interpersonal and project management skills, with an ability to work with diverse groups.
  • Prior experience organizing meetings and events helpful. Willingness to work occasional evenings and weekends.
  • Demonstrated project and time management skills and ability to manage multiple priorities.
  • Must demonstrate acceptable level of maturity, good judgment, and emotional stability.
  • Problem solving—identifies and resolves problems in a timely manner and gathers and analyzes information skillfully.

Position Requirements:  
  • Physical: Occasionally required to push/pull objects up to 50 lbs., and to lift/carry objects up to 25 lbs. Frequently required to perform moderately difficult manipulative tasks such as typing, writing, etc. Must be able to walk, stand, and sit for extended periods.
  • Sensory: Frequently required to read documents, written reports, and plans. Must be able to distinguish normal sounds with some background noise, as in answering the phone, interacting with residents and staff, etc. Must be able to speak clearly and understand/be understood using the English language.
  • Cognitive: Frequently required to concentrate on moderate detail with constant interruption. Must be able to attend a task/function for 20-45 minutes at a time. Frequently required to understand and relate to specific ideas, several at a time. Must be able to remember multiple tasks/assignments given to self and others over a period of several days.
  • Environmental Conditions: Frequent exposure to varied office and mixed (residential/office) environments. Occasional exposure to toxins and poisonous substances, dust, and loud noises.
  • Equipment: Frequently required to use a computer, phone, and fax machine.
 
Essential Requirements:  
  • Must be able to meet and receive a criminal records clearance, as required by Title XXII, other licensing regulations, and Caminar practices.
  • This position may require limited, occasional, or frequent driving.  If required, a valid California driver license, a reliable personal vehicle, and current personal auto insurance is required by law.  In addition, an MVR sufficient to obtain and maintain insurability under agency auto liability policies are all essential job requirements.
  • Must be able to pass post offer, pre-employment medical and drug tests as required under State Community Care Licensing regulations and/or agency policies.
  • If applicable, a personal cell phone with reliable service and a data plan to use for business purposes.
  • May be required to obtain and maintain First Aid and CPR certification.
