The Role

Your role will be to ensure that all New Business (NB) opportunities are fully coordinated whilst ensuring the profile of the agency is raised and maintained, internally and externally. The role will report directly into the CMO.


The four aspects of the role are:

Consideration - Ensuring that we are considered for any relevant pitches

Pitch Management - Smooth, professional management of all aspects of the pitch process

Conversion - Improving our conversion rate i.e. Winning more pitches

Reporting - Being the gate keeper of all reporting and tracking of NB and Marketing activities.


Responsibilities include:


New Business

Oversee process for RFIs/RFPs/Pitches ensuring the new business machine runs smoothly, quickly and efficiently

Manage the creation of pitch materials and oversee all logistical elements including gathering content, liaising with design, support on pitch theatre etc.

Create and maintain the RFI library so that we have up to date info and each RFI that we do is reviewed post submission so that we are not reinventing the wheel every time.

Create new business credentials and maintain the credentials library including writing the copy, briefing into design and gaining sign off.

Maintain/update profile on intermediary websites and ensure they are kept up-to-date on a monthly basis – i.e. AAR, Creativebrief, ISBA, IPA etc.




Daily maintenance of Havas London social platforms

Maintain the website with the latest news, thought pieces, work etc.

Support the team into production and logistic of internal and external events - coordinating mailing lists, venue and speaker liaison, meeting/greeting

Collating content for marketing collateral: mailers, brochures, videos and ensure consistency and respect of branding

Manage mail out and content coordination for newsletters

Work with broader team on marketing our case studies to drive new business

Work with broader team on award entries



Maintain weekly  NB status report to raise awareness of Havas London activities within the group

Track and analyse all NB activities for mid and end of year review (won, lost, stages, etc.)

Monthly database updates: maintain client list, client team, intermediaries and third party lists

Coordinate the agency team meetings, take minutes and circulate actions

Coordinate expenses and update the new biz/marketing budget

Diary management for pitches, travel booking, printing/binding and final touches for pitches


Key areas of ownership

Be 100% aware of all new business briefs, credentials, chemistry meetings and RFIs

Ensure that you have your finger on the pulse of new business externally, emerging trends, what is happening globally within Havas and across HMG UK, keep reading and learnings so that we can constantly improve our process and way of working.

Ensuring that you push the teams to follow best practice and deliver on time

Ideal Experience

Will have worked either in the marketing services sector including agency, or alternatively in a blue chip sales orientated industry. 

Able to coordinate lots of people and projects at the same time and working in a process

Strong Office Suite skills – in particular PowerPoint and Excel
