Havas Formula is seeking an Executive Assistant to the CEO with office management responsibilities.

Primary responsibilities include managing complex schedules, offering support on key projects, coordinating travel arrangements and interacting with internal business departments and external parties as well as providing administrative support to the NY Office. For this role we are seeking a confident, highly composed individual with exceptional communication, organizational and time-management skills.

We are a national public relations agency with offices in NY, Chicago, Miami, LA and San Diego. We have premier clients across the country and were recently ranked a “Best Place to Work” by the Holmes Report.

RESPONSIBILITIES

  • Manages communication for the President, Senior Management team, and some key clients
  • Manages Presidents schedule, calls, and calendar
  • Books travel, meetings, and appointments
  • Compiles notes for brainstorm and capabilities decks
  • Creates and edits presentations on key projects
  • Acts as the NY Office Manager
  • Communicates and collaborates with the Operations Division in the San Diego and LA Offices
  • Stays aware of senior management schedule 24/7 and handles issues when they arise
  • Coordinates internal and external events as needed
  • Jumps in on unscheduled or new activities as they arise
  • Stays one step ahead and offers creative solutions

QUALIFICATIONS

Education: Bachelor’s Degree

Experience: A minimum of 5 years of relevant Executive Assistant experience assisting C-level executives
Skills & Abilities Required:  

  • Excels at working independently, collaborating with teams, managing multiple projects, and handling confidential information with the utmost discretion.
  • Extremely proficient in Microsoft Office Suite especially Power Point.
  • Extraordinarily proactive, resourceful, detail-sensitive, and articulate.
  • Excellent interpersonal, written and oral communication skills.
  • Outstanding customer service skills.
  • Outstanding organizational and time management skills
  • Extreme attention to detail and ability to prioritize duties
  • Excellent follow up skills and the ability to use independent discretion and judgment on routine and complex issues.
  • Ability to maintain strict confidentiality.
  • Strong work ethic.
  • Strong team philosophy; proven ability to work positively, collaboratively and professionally within a team and across an organization.
  • Ability to travel to other work locations as needed.
