Managing Associate Director of Undergraduate Admission

Suffolk University invites application for the Managing Associate Director of Undergraduate Admission position.  Reporting to the Director of Undergraduate Admission, this position will help lead the admissions team responsible for the recruitment and admission of undergraduate students. The Managing Associate Director will work to increase and convert applications into enrolled students, with a large emphasis on increasing transfer enrollment. They will be involved in a range of on and off campus recruitment activities including school visits, community college visits, college fairs, counselor meetings and applicant interviews. Assists with coordinating and implementing applicant yield activities such as information sessions, Suffolk Showcase and off-campus receptions. Responsible for planning and managing enrollment within the CRM admission database and related modules necessary to support aspects of the admission process. The Managing Associate will be responsible for the management and supervision of members of the admission staff, and will act as a support to the Director of Admission Information Systems. Serves as the liaison to the Office of Marketing and Communication for print publications and recruitment materials.

  • Represent the University at college fairs and in secondary schools and community colleges; freshman and transfer recruitment and file review (approximately 800 applications); other duties as assigned. The incumbent will travel/recruit approximately 6-8 weeks between the fall and spring semesters, (including hosting area receptions and yield events). Conduct on and off-campus interviews with students and families as requested. Present information sessions in the Welcome Center to students and families as needed. Demonstrated ability and understanding of the mission of the university’s urban location and the unique opportunity this presents for prospective students. Ability to demonstrate enthusiasm about the University, exhibit a strong work ethic, exercises sound judgment, and is skilled at public speaking and writing. Ability to communicate professionally with a variety of different internal and external audiences.
  • The Managing Associate Director of Admission is responsible for the timely and accurate evaluation of freshman, transfer, and international applicants using a digital-based application system/CRM. The incumbent will issue admission decisions, transfer credit evaluations, and rankings for honors consideration or special financial aid merit programs in accordance with University parameters. Questionable cases are referred to the Director. The incumbent will also help with second-reading applications for entry-level staff. Counsels applicants, their families, school counselors, and advisors on Suffolk University’s admission policies and procedures.
  • The candidate will participate in the on-boarding, training, mentorship, and supervision/management of junior staff members, including one regional representative and the Assistant Director of Transfer Admission. Assists junior staff with the development and cultivation of territory and prospect management plan. Will serve as a senior undergraduate admissions officer in the absence of the Director. This requires the ability to make autonomous decisions that may be tied to tactical and strategic planning on behalf of the admissions office. The Managing Associate will also oversee temporary application readers and 2-3 graduate fellows who assist with enrollment efforts.
  • The incumbent serves as the liaison to the Office of Marketing and Communications to oversee all print publications and recruitment materials. Develops a timetable for recruitment material creation/delivery, tracks the ordering and budget for publications pieces, and reviews/edits content. Maintains the inventory monitoring system.
  • The Managing Associate Director may be assigned other specialized responsibilities. These responsibilities may include, but are not limited to:
    • Understanding and explaining immigration regulations pertinent to undergraduate students
    • Collaborating with the Slate Deliver team on email communications, text outreach, and social media campaigns.
    • Assisting the Director of Admission Information Systems with maximizing the CRM admission database and related modules necessary to support aspects of the admission process.

Other duties as assigned by the Director of Undergraduate Admission and Vice President of Admission and Financial Aid


  • At least 7 years of progressive admissions and management experience.
  • Bachelor’s Degree; Master’s Degree required.
  • Experience with enrollment marketing and budget tracking desirable.
  • Must have strong experience with the strategic enrollment of transfer students.
  • Requires ability and comfort to travel for weeks at a time, as well as evening and weekend work.
  • Must be able to evaluate data to make strategic enrollment decisions.
  • Must have at least two years of driving experience and have a valid driver’s license from the U.S. or U.S. Territories; must submit to an annual driver record check and maintain an acceptable driving record per university and/or insurance carrier requirements; must complete the University driver safety training within 60 days of hire and additional driver training as needed.
  • Valid passport for international travel as needed.
  • Strong computer proficiency including a working knowledge of Microsoft Word and Excel and expertise in using social media to attract and recruit applicants.
  • Experience with reading and evaluating application materials using a digital based application system (Slate preferred).
  • Outstanding verbal communication skills - ability to speak publicly in front of small and large audiences.
  • Ability to communicate ideas clearly and concisely; must be creative, innovative, and pro-active to achieve desired objectives.
  • Ability to engage and network with prospective applicants, families, transfer advisors, and secondary school counselors.
  • Ability to maintain flexibility and work in a fast-paced environment, including nights and weekends as needed. Ability to juggle multiple projects and handle difficult situations. Strong time management and ability to meet strict, frequent deadlines.
  • Ability to work independently and as part of a team on group projects.
