Program Coordinators, Fulbright Teacher Exchange Programs

IREX is looking for Program Coordinators (PC) to support their Education practice in providing administrative support to the Fulbright Teacher Exchange Programs in the day-to-day administration of program activities including logistics, implementation of  initiatives, financial monitoring, and communicating with partner organizations. The PC supports events and management, reporting internally and externally.

Carry out additional duties and tasks to meet the needs of the organization, team, or as assigned by supervisor

Relational Communication

As assigned, draft correspondence with stakeholders. Guidance and/or approval before engaging stakeholders may be required. Writes fluently, with minimal editing required. Leads some internal meetings. Makes oral presentations of own work to internal and occasionally external audiences.

Specific tasks for assigned role include:

  • Serves a primary point of contact for U.S. Embassies and Fulbright Commissions overseas;
  • Organizes program events and conducts trainings and site visits;
  • Supports program communications, publicity, and outreach;

Project Support or Management

Responsible for providing input to internal/external reports, presentations, and other products as identified. Provide logistics support for all program needs, may include event planning, travel arrangements, schedule meetings, etc. Contribute to monitoring and evaluation activities including data management and analysis if assigned. With guidance, manage program internal and external communication; tasks may include, the management of email inboxes and program contact information, draft written communications, contribute to program communication tools (newsletters) and social media efforts.

Specific tasks for assigned role include:

  • Represents the interests of IREX's Education Practice both within and outside of the organization;
  • Provides monitoring and evaluation efforts and tracks participant and program indicators and impact;
  • Compiles and tracks a wide range of participant information and program data, maintaining accuracy and completeness;
  • Maintaining knowledge of country/regional education system and trends. Supports preparation for and implementation of Fulbright Teacher Exchanges team workshops and events, including:
  • Collaborating with program team to support development and preparation of materials for workshops and events;
  • Assisting with event coordination and providing on-site support during workshops;
  • Facilitating sessions at teacher training workshops;
  • Supporting travel and event logistics.

Business Development

As assigned support the proposal process, to include writing sections of the proposal, lead specific proposal tasks with of minimal oversight, contribute to proposal strategy and design as appropriate, observe review meetings. Join leadership, when invited, in donor project meetings to increase awareness and relationship building. Demonstrate an understanding of the proposal process.

Specific tasks for assigned role include:

  • Supports implementation of subawards, contracts, vendor and consultant agreements, and other contractual and procurement support;
  • Develops program and workshop materials;
  • Contributes to funder reports, when requested;
  • Develops quarterly reports to funder, survey development and implementation, data collection and processing;

Financial & Compliance

At the direction of project leadership, independently and accurately, perform financial administration takes (check requests, sub-award approval level, PAM, vendor RFP, etc.,). With the supervision of program leadership, make independent decisions about the type of information needed to populate a given document consistent with policies.

Specific tasks for assigned role include:

  • Supports fiscal and performance activities to be in compliance with IREX policies and procedures and funder regulations;
  • Processes payment requests and reconciles financial statements with accuracy;

Specific tasks for assigned role include:

  • Works with program participants and alumni, tracks success stories and program impact data;
  • Works with the guidance of managers to develop workplans and processes for small projects and team-wide responsibilities;
  • Supports the training of team members in processes related to participant data management and collection and other program processes.

Skills & Experience



  • Bachelor's degree
  • 2+ years of relevant working experience


  • MA in international affairs/development, international education, or related field.
  • Experience working with teachers and/or in a classroom setting (U.S. or international).
  • Experience working on USG projects.
  • Experience in data management.
  • Knowledge of and experience with project design, grant management, proposal development.
  • Knowledge of and experience with large-scale event coordination.
  • Facilitation or public speaking experience.
  • Study, work, or living experience abroad.


  • Detail-oriented with ability to multitask, prioritize, and remain flexible while adhering to strict deadlines in a fast-paced working environment.
  • Proven communication and organizational skills with demonstrated cross-cultural sensitivity.
  • Ability to work in a team environment, including team members in multiple time zones across a variety of organizations.

  • Strong working knowledge of Microsoft Office software and Google communications, publishing and web analytics tools, CRM software (i.e. Salesforce), and social media.
  • Proficiency in educational and cross-cultural material/curriculum development.

Incumbent must be a U.S. citizenship or demonstrate proof of valid U.S. work permit.
