JOB DESCRIPTION

 

POSITION: CLINICAL ADMINISTRATIVE ASSISTANT

CLASSIFICATION CODE: FULL TIME

DEPARTMENT: CLINICAL MANAGEMENT

REPORTS TO: ASSISTANT DIRECTOR OF CLINICAL OPERATIONS

 

STATEMENT OF JOB: This position serves to provide administrative and clerical support for the clinical management team to ensure the efficiency of services to the people and organizations of the White Mountain Apache Tribe.

 

DUTIES AND RESPONSIBILITIES:

  1. Work in a collaborative fashion with the Clinical Management Team, community stakeholders, and all other staff involved in clinical operations.
  2. Provide documentation coordination with the following departments and agencies: AHCCCS, IHS, the White Mountain Apache Police Department, Johns Hopkins Celebrating Life, Whiteriver Unified Public Schools, McNary Schools, Dishchii’bikoh Schools, BIA/BIE Schools, other area schools, White Mountain Apache Tribe Fire Department, Whiteriver Service Unit, White Mountain Apache Housing Authority,  White Mountain Apache Emergency Medical Services, White Mountain Apache Detention Center, White Mountain Apache Social Services, White Mountain Apache Prosecution Unit and all other appropriate agencies/departments.
  3. Collaborate with ABHS Training and Events department to schedule training for the Clinical Programs and to Tribal/Federal/ Community organizations and individuals.
  4. Act as liaison between Clinical Management and ABHS Events and PR team for coordination of clinical program events and publicity.
  5. Organize and schedule meetings as requested by Clinical Management Team
  6. Distribute information to internal and external partners when there are new or changing policies and procedures, this includes all memos issued by an ABHS department or director.
  7. As requested, provide clerical support such as photocopying, scanning, and faxing. As requested, attend clinical team meetings both within and outside of ABHS.
  8. Keep track of community outreach events, such as walks, conferences, prevention fairs, media campaigns and other related gatherings by maintaining copies of sign-in sheets, ensuring that all releases and permits are obtained, and maintaining a master calendar of Clinical events.
  9. Draft and send documents and correspondence on behalf of the Clinical Management Team as assigned (emails, letters, etc.).
  10. Check and enter data to maintain address log and email distribution list for different events.
  11. Monitor inventory and order office supplies for Clinical programs.
  12. Adhere to the accepted and published ethical standards of Apache Behavioral Health Services.
  13. Ensure that all Clinical groups have reserved space.
  14. Perform all other administrative and clinical duties as assigned by supervisor.
  15. Ability to address a variety of diverse spiritual, emotional, and social needs in multiple environments of an often-high-risk population, using a trauma-informed care approach while maintaining a high degree of professionalism and cultural awareness.
  16. Abide by all applicable policies, procedures, and program standards of ABHS, White Mountain Apache Tribe, Indian Health Services, Arizona Health Care Cost Containment System (AHCCCS) and other pertinent regulatory authorities.
  17. Provide a positive role model to clients and staff through leadership, self-discipline, and genuine care for the treatment and recovery of clients. All clients and staff members must be treated with dignity and respect.  
  18. Other duties as assigned.  

 

MINIMUM QUALIFICATIONS:

  1. High School Diploma or GED. Associate degree (or greater) preferred.
  2. At least 3 years work administrative work experience and some experience with Health Insurance Portability and Accountability Act (HIPAA).
  3. At least 2 years of behavioral health or related experience.
  4. High level of proficiency in Microsoft Office; excellent Excel and Outlook 365 applications. Ability to correctly operate and troubleshoot the following: email, internet, copy machine, fax, and calculator.
  5. Independent and self-guided problem-solving abilities.
  6. Strong written communication skills.
  7. Ability to speak both Apache and English preferred.
  8. Must pass fingerprint/background check and pre-employment drug and alcohol screening.
  9. Have personal transportation to and from work.
  10. Must have a working knowledge of the needs, strengths, and services in the tribal community.
  11. Must become trained in A.S.I.S.T. and SafeTalk.
  12. Arizona Fingerprint Clearance Card that meets ABHS’s requirements or ability to obtain upon hire.
  13. Excellent written and oral communication skills, as well as professional meeting facilitation skills. 
  14. Strong interpersonal skills with an ability to work effectively with a wide range of people, teams, managers, supervisors, and community partners.
  15. Must demonstrate strong critical thinking, problem-solving and organizational and time management skills.
  16. Must have a valid driver’s license.

 

 

Preferred:

  1. At least 3 years’ experience working with Native Americans.
