The HR Operations Services Specialist will be responsible for executing all HR transactions and administration, supporting the HR team, across all HR service categories including data management, scorecards, reporting, and more.  This role requires an emphasis on data integrity and analysis to support key HR decisions. As a member of the HR Operations team will provide coverage and support as needed and receive guidance and escalation support from the HR leadership team.

Key Responsibilities:

  • Supports talent acquisition and HR operations efforts to drive a positive candidate and hiring manager experience
  • Ensures human resources tools and processes meet the needs of candidates, hiring managers, recruiters, and recruitment coordinators. Manages processes and tasks to ensure that they are simplified, automotive, efficient, and well-communicated
  • Updates and facilitates weekly orientation for new hires and be the go-to person for inquiries from new hires as they onboard
  • Leads Co-op Student recruitment in Canada including headcount forecasting adjustments, job posting, communications with university co-op programs, interview scheduling, offer proposals, preparing offers of employment, background checks, onboarding, student experience, and off-boarding
  • Manages student subsidy applications for all eligible students throughout the year. Works with Payroll to ensure claims are made in a timely manner
  • Manages Human Resources related vendor relationships including applicant tracking system vendor, background check vendor, job board organizations, diversity board organizations, and more
  • Prepares PO Requests, tracks spending and existing contracts for the Canadian and US Human Resources Heads and provides information, as requested
  • Supports HRIS Manager in administering and monitoring internal use and provides technical support for the applicant tracking system
  • In conjunction with Talent Acquisition, organizes career fairs, recruitment events, and recruitment-related sponsorships. Develops content as needed and participates in events as a company ambassador when needed
  • Maintains employee records to include electronic files and ensures that information is accurate and up to date
  • Proactively identifies opportunities to improve existing processes and/or implement new ones
  • Assist with corporate HR initiatives and projects as required
  • Provides backup to the other HR team members when needed

Education and Experience:

  • Bachelor’s degree
  • Five or more years of professional experience with at least three years in human resource operations
  • Experience with a broad suite of technology including, but not limited to, HRIS systems (Success Factors), Applicant Tracking Systems (JobVite), Excel, and ticketing software (Jira)
  • Experience processing a high volume of transactions using standard operating procedures and company guidelines for multiple types of HR transactions, including onboarding/offboarding, personnel changes, reclassifications, and related activities
  • Experience interpreting and applying HR policies when answering client questions and processing transactions
  • Proficiency with MS Office

  • Experience designing, implementing and improving scalable processes and workflows in a high-growth environment
  • Experience with ensuring organizational compliance with local, state, and federal employment laws
  • Intermediate proficiency in Excel, including the ability to create reports, run pivot tables, execute V-lookups and other functions, make charts/graphs, remove duplicates, and so on
