ZoomCare is seeking an Executive Assistant to join our team! The Executive Assistant - Executive and People Team is responsible for providing executive-level support to the CEO and executive team, and administrative support for the People Team. The Executive Assistant provides a variety of clerical support such as organizing meetings, drafting communications, coordinating travel arrangements, completing expense reports, analyzing data, preparing reports, maintaining records, tracking deliverables, and assisting with ad hoc projects.

  • Proactively provide executive-level support to the CEO and ad hoc support for the executive team.
  • Provide a variety of administrative support to the People Team.
  • Manage executive calendars, including making appointments and prioritizing the most sensitive matters.
  • Organize meetings and events, including scheduling, sending reminders, booking rooms/event space, organizing catering, setting up equipment, and other meeting logistics.
  • Coordinate and assist with meetings, including gathering documents, creating agendas, preparing slide decks, distributing meeting materials, taking notes, and recording meeting minutes.
  • Coordinate travel arrangements; develop itineraries, book and coordinate travel and hotel accommodations, reserve meeting facilities, etc. 
  • Assist with communications including writing/editing emails, drafting memos, reviewing communications, creating slide decks, and compiling reports.
  • Manage and analyze data, conduct audits, and prepare reports.
  • Track project deadlines and deliverables; maintain and keep various records and documents up to date.
  • Complete expense reports and related documentation.
  • Effectively partner with all levels of employees and cross-functionally throughout the organization.
  • Assist with ad hoc projects, as needed.
  • Other duties as assigned.
QUALIFICATIONS
  • Bachelor’s degree in business administration, communications, human resources, or a related field, preferred. 
  • 2+ years of related experience supporting an executive team. 
  • Effective written, verbal, and interpersonal communication skills.
  • Excellent organizational skills with meticulous attention to detail.
  • Ability to function well in a fast-paced environment with competing priorities.
  • Strong business acumen and problem solving skills.
  • Able to work well independently and as part of a team.
  • Extensive knowledge of office administration, clerical procedures, and record keeping systems.
  • Ability to uphold a strict level of confidentiality and discretion.
  • Tech savvy and proficient with Google Suite, MS Office Suite, NetSuite, or similar with the ability to learn new or updated software quickly.

  • Salary Range: $70,000 - $80,000 
WORKING CONDITIONS
  • Exposure to confidential and sensitive information.
  • Prolonged periods sitting and/or standing at a desk and working on a computer.
  • Seeing, hearing, speaking, and writing clearly in order to effectively communicate with others.
  • Hybrid work environment; the role is primarily remote, however, candidates must be able to go onsite in Portland, OR and Vancouver, WA as necessary for business needs (typically, at least 24 hours notice will be provided). 
  • Project timelines and work volume/deadlines may require more than your scheduled hours per week or work outside of regular business hours to complete essential duties of this job.
