REPORTS TO: Chief External Officer

 

POSITION TYPE: 12-month

 

START DATE: Immediate

 

COMPENSATION: $54,911 - $65,894, Home Office Grade 4

THE OPPORTUNITY

YES Prep needs a dynamic Executive Coordinator with a diverse set of experiences to make our mission a reality. To put it simply, you will maximize the efficiency of the Chief External Officer (CXO) and the External Affairs team by providing high-level administrative and operational support.

 

THE ROLE

When you join the YES Prep team, some of the exciting work and responsibilities will include:

 

Project Management

·          Champion the activity engagement of the CXO department by managing CXO calendar, scheduling arrangements for external partner contacts and CXO’s travel team needs (including scheduling transportation, lodging, and trip itineraries);

  • Lead special project planning by integrating and keeping on track all cross-functional collaboration needs among CXO and other C-suite team members;
  • Support CXO team leaders to achieve department goals by locking arms to successfully delivering department plans and projects;
  • Document methodology, execution and delivery of plans impacting CXO quarterly impact milestones with the goal of recording process delivery and outcomes to build efficiencies for future projects;
  • Focus on internal projects and initiatives to support growth;
  • Work as a CXO meeting facilitator by creating effective digital presentations, taking meeting minutes and following up with meeting action items;
  • Project manage internal marketing and communications campaigns for the team as needed;

 

Professional Development

  • Keep track of team performance dashboards and other accountability metrics established by CXO;
  • Lead CXO professional development scope and sequence design by co-leading annual trainings, quarterly retreats and monthly meetings;
  • Champion the oversight of external communication by monitoring social media and web content is in alignment to YES Prep brand and centrally planned messages;
  • Champion the YES Prep brand with all stakeholder engagement needs;

 

Budget Management:

  • Champion budget management to keep CXO department on budget for administrative and operating expenses;
  • Compile and submit monthly reimbursements for the CXO;
  • Create efficient and effective control systems for budget management associated with event planning and other external events;
  • Additional duties as assigned.

THE NICE TO HAVES

  • Bilingual
  • Bachelor’s degree from an accredited four-year educational institution
  • Experience with accounts payable and payroll systems and processes
  • Experience in or understanding of basic accounting operations
  • Experience managing commercial insurance policies
  • Risk management experience
  • Nonprofit experience
  • Project management experience

  • CompensationThis position is an exempt, salaried position; offers commensurate with experience.

 

  • Health and Supplemental Insurance – A $0 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
