REPORTS TO: Director – Operational Projects &Coordinator

 

POSITION TYPE: 12-month

 

START DATE: Immediate

 

COMPENSATION: $54,911 to $65,894, Home Office Grade 4

THE OPPORTUNITY

YES Prep needs a dynamic District Registrar with a robust set of experiences to make our mission a reality. As a YES Prep employee, you will achieve jaw-dropping results, create pathways to opportunity for our students, and build transformative relationships.

 

To put it simply, you will play an integral role in developing and coordinating districtwide data standards that comply with state and federal requirements because data directly impacts accountability, funding, and our ability to successfully serve students, staff, and communities. You will ensure every school’s data and records are properly collected, maintained, and reported. You will also ensure that campus registrars, attendance clerks, and other support staff are effectively trained and supported year-round.

THE ROLE

When you join the YES Prep team, some of the exciting work and responsibilities will include:

 

  • Partnering with other departments and oversee a successful enrollment, registration, and withdrawal process for all incoming and current students and being on call to advise and support individual schools;
  • Evaluating and thinking strategically about districtwide student data standards and management, and then providing school administrators and district leadership with a plan for ensuring full compliance with state and federal requirements, holding campus staff accountable for meeting data deliverables on deadline, and enhancing and streamlining current data management processes and systems;
  • Coordinating, training, and advising all campus registrars, attendance clerks, and other campus staff who work with data;
  • Monitoring and conducting internal audits of school data, records, and internal controls, and making recommendations on preventive and corrective actions;
  • Researching, interpreting, coordinating, and monitoring implementation of new student data rules and laws in collaboration with other district-level teams (e.g., Operations, Student Support);
  • Maintaining the Registrar & Attendance Clerk Manual, and contributing to the Student Handbook, Student Code of Conduct, and other internal communications and resources;
  • Serving as a liaison between YES Prep and government entities (e.g., TEA, Region IV ESC) on position-related topics and engaging with our peers in the education landscape; and
  • Serving as the Home Office Lead for registrars/SIS Clerk during Transcript Scrubs by advising, training, and creating procedural workflow for student transcripts and graduates.
  • Monitoring campus fulfillment responses to incoming TREx/Records Requests;
  • Creating and implementing regulatory reports for PEIMS reporting & end of year;
  • Partnering with Student Recruitment and monitoring the Internal Transfer Process for the district;
  • Partnering with Elementary School Operations by creating guidelines for PK Requirements, PEIMS coding, and advising Elementary schools on PK compliance requirements;
  • Storing academic records and fulfilling requests from parents and district for archive student records;
  • Additional duties as assigned.

MUST HAVES

  • Bachelor’s degree from an accredited four-year educational institution 
  • Minimum five years of experience with state compliance in Texas public and/o r charter schools
  • Minimum three years of experience working as and/or managing a registrar in Texas public and/or charter schools
  • Experience with TSDS PEIMS, Skyward Q.
  • Experience creating data visualizations and analyses; e.g., PowerBi, Excel, and SQL
  • Proven track record of data analysis to solve problems and drive improvement 
  • Proven ability to manage projects, lead teams, and learn and utilize technological skills
  • Outstanding record of organization and attention to details
  • Experience with data tracking, people and project management, and communication with a customer-service focus
  • Ability to travel both across the State of Texas and national (~50%)

  • CompensationThis position is an exempt, salaried position; offers commensurate with experience.

 

  • Health and Supplemental Insurance – A $0 monthly medical option or a $24 monthly option that includes $50 YES Prep Paid Health Savings Account contribution, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
