The Director of Operations has direct dealings with XOJET Aviation’s full team of aviation professionals, from line pilots to management, as well as coordinating with XOJET’s customers, vendors, and partners. This position is an important role in the success of XOJET Aviation – the key role in the success of the operation – and is expected to be a major contributor to the leadership and growth of the overall company. The Director of Operations is expected to be a visible and present leader in the organization, instilling and upholding the XOJET Aviation values and culture throughout the organization. Given the level of responsibility for this position, this person must be capable of stepping up to expanded operational roles to support XOJET Aviation’s leadership when needed.

 XOJET Aviation also operates Vista Jet’s US Fleet of aircraft in a staffing and management capacity. This person must possess a strong background in Flight Operations and overall Business Management, as well as the ability to select and manage a strong team of aviation executives to succeed. Overall Aviation knowledge and expertise, and exceptional management and organizational principles are required to effectively plan, organize, staff, direct, measure and control the success of the operation.

The Director of Operations is based at the company’s corporate headquarters in South Florida and direct reports to XOJET Aviation’s President


  • Ensure the overall quality of XOJET Aviation’s operations, reporting directly to XOJET’s President.
  • Provide the organizational leadership necessary to drive XOJET Aviation’s operations in achieving high levels of service and success.
  • Provide leadership and direction to all personnel.
  • Responsible for the flight department organization and operation, crew planning, and directing the pairing of available aircraft and flight crews to ensure safe and efficient operation.
  • Responsible for carrying out all company policies in compliance with all laws, rules and regulations governing flight operations and activities.
  • Responsible for the safe operation of all aircraft owned, operated, or managed that are listed in the D085 Operations Specification.
  • Coordinate duties with the Pilots, Director of Maintenance, the scheduling of aircraft for maintenance and the timely return to service of aircraft once maintenance has been performed to achieve the company’s flight operation goals and objectives.
  • Ensure aircraft discrepancies are reported by flight crew and actioned by maintenance.
  • Responsible for the proper maintenance and disposition of the flight department operating records in accordance with FARs and Company policy.
  • Conduct personnel interviews, periodic personnel evaluations, handle employer and/or employee complaints or suggestions and take appropriate disciplinary action, in accordance with company policies and in coordination with the Chief Pilot and Human Resources.
  • Supervise the distribution and posting of all information or memoranda relative to changes affecting company policies, route information, NAVAIDS, NOTAMS, etc.
  • Provide leadership and direction to flight personnel to enhance personal performance and competence.
  • Establish and maintain an active aviation safety program. Manage personnel responsibility for the company’s safety programs.
  • Ensure that high levels of service are provided to the company and all who use company aircraft, facilities or operations.
  • Ensure that department personnel are thoroughly familiar with and comply with all company policies, pertinent operations manuals, practices and procedures.
  • Establish programs and training for pilots, including proficiency reviews, initial training, recurrent training, testing and upgrade training. Manage personnel responsible for the administration of the company’s training programs.
  • Serve as Company representative at events as required.
  • Prepare for and oversee third party operational audits.
  • Develop and maintain relationships with third party service providers ensuring uninterrupted high-quality service.
  • Direct administrative functions including, but not limited to payroll approvals, employee time-off requests, maintaining the training and vacation calendar, participation in new hire screening and interviews.
  • Conduct regular meetings with various internal employee groups, ensuring the highest level of service.
  • Be a qualified gatekeeper for the company in the FAA Human Intervention Management system program.
  • Support the company QPR suicide prevention program.
  • Serve as the Drug Free Workplace testing coordinator.
  • Coordinate Aircraft Training Vendors (CAE, Flight Safety).
  • Be responsible for and maintain the authority to ensure the quality of management of the system safety elements outlined in the General Operations Manual (GOM). Certain System Safety Elements are associate with the FAA Required Programs. In those cases, the DO is responsible for and has authority over the associated FAA Required Program.
  • Develop, implement and continuously improve the event management system, supporting the planning, execution, and quality of all flight diversions.
  • Ensure the quality of reporting of all operational matters to key stakeholders.
  • Maintain department standards at the highest level of excellence.
  • Ensure that flight operations are conducted safety and in compliance with all Federal Aviation Regulations, Operations Specifications, and Company policies.
  • Ensure that the flight crews deliver the highest level of customer service.
  • Plan and coordinate procedural development, implementation, and maintenance of systems and procedures.
  • Manage FAA issued Operational Specifications and operational manuals.
  • Report operational performance indicators, operational anomalies, and status updates on various projects when required.
  • Manage real-time operations challenges as they occur, ensuring the safe and efficient completion of the flight operation.
  • Conduct annual recurrent training specific to the operational certificate.
  • Direct management of direct reports (listed above). Provide leadership and direction to flight personnel.
  • Ensure high levels of safety and customer service delivered by flight crews.
  • Maintain operations and policy manuals specific to service.
  • Provide oversight to Flight Standards program.
  • Provide oversight of all flight operations reporting due to Customer on a regular basis.
  • Lead strategic projects related to operations.
  • Review and evaluate flight crew training records.
  • Manage and maintain high morale within the organization, especially and including the flight operations department, through the development of programs, communication, and goal and objective setting.
  • Manage attrition and retention in order to deliver uninterrupted business to Customer’s normal schedule.
  • Supporting Emergency Operations Center and Business Continuity drills and recovery.
  • Establish and ensure effective irregular operations procedures.

  • 5+ years of experience as a leader of a flight operations department, responsible for large, multi-engine aircraft operations.
  • Experience in both FAR Part 135 and 121 operations is highly desirable.
  • MUST have a First Class Medical and ATP and be able to fly in operation.

  • In depth knowledge of FAR regulations.
  • Absence of history of violations of Federal Aviation Administration regulations.
  • Highly customer-centric with a genuine appreciation for the critical role held by Pilots and other line employees in operational success.
  • A track record of working in a productive and collaborative manner with aviation regulatory authorities and a strong reputation among the Flight Operations community.
  • Experience serving in roles that have required representation of the organization to a variety of internal and external groups, including International Operations.
  • Bachelor’s Degree in Aviation Management, Business, Engineering, or similar fields.
