Office Assistant/ Program Training Analyst
Xcelerate Solutions is seeking a Program Analyst/ Program Management Office Assistant. Who will perform operational duties in support of regulatory, security, and industry practices, including compliance documentation. Coordinates the resourcing and on-boarding of new employees and contract investigators, provides invoicing support, utilizes Concur to prepare and complete employee investigator expense reports and performs quality audits and other duties as assigned. Responsibilities:
- Coordinate with Credentials Manager and Field Operations Manager in the resourcing and on-boarding of employee and contract investigators, including working with IT to provide laptops and other equipment to new employees
- Prepare and process Concur expense reports and receipts for employee field investigators
- Process all training certificates and input into program’s tracking database
- Support quality control and other integrity assurance program initiatives, including creating and updating necessary spreadsheets to track data
- Act as the back-up to the Credentials Manager in processing eligibility determinations, new approval or sharing requests, and otherwise managing credentials for field investigators and record technicians
- Process and reviews invoices for completeness and accuracy prior to submission to the government
- Other primary or backup administrative duties may include:
- Coordinate, retrieve and send FedEx packages from loading dock daily
- Open incoming mail, sort, copy, and upload to the appropriate case file
- File all materials in case folders, maintain file room, maintain copy/scanner room
- Copy and enters new cases into case management system
- Prepare file folders and files new cases in file room(s)
- Assist in coordination of outgoing department correspondence, including packing, preparing labels and sending via FedEx
- Create original correspondence; assemble addresses and mail documents to meet business needs
- Pull and prepare files for destruction
- Answer incoming calls, researches and responds to inquiries, escalates and/or routes calls to appropriate personnel as necessary
- Distribute documents and materials to department employees such as memoranda, faxes, staff calendars, government transmittals
- Maintain office and computer supply inventory
- Generate and package Excel spreadsheets for case manifests and status
- Escort visitors through the secure space as required
Requirements:
- Eight years minimum providing program and administrative support on programs or projects that require handling of sensitive customer information
- Two years minimum in use of Concur to complete expense reports
- One year minimum supporting a quality control program and tracking related data
- Experience in reviewing invoices and other deliverables for completeness and accuracy prior to submission to the government
