Summary Description:

Responsible for managing the company’s domestic and International credit & collections activities including developing an effective credit risk assessment process, anticipating and resolving receivables issues and monitoring aging accounts in order to ensure quality, resolve errors, and improve cash flow. Design / re-design and implement organizational processes to improve workflows and corresponding reduction in customer friction and improvement in cash flow / DSOs. Manage outside collections agencies when necessary. The role will also ensure that all collection activity is handled professionally, timely, and in accordance with all company policies, procedures and state and federal guidelines. This position is based at the company’s HQ in Provo, Utah and reports directly to the Company’s Chief Financial Officer.

Essential Duties and Responsibilities:

  • Responsible for the daily management of the accounts receivable collection process; developing and implementing best practices to achieve superior customer experience while ensuring high quality, compliant and effective collections efforts
  • Oversee the collection and application of cash, as well as monitoring and measuring appropriate benchmarks including monthly collections, Days Sales Outstanding (DSO), and receivable aging objectives
  • Build strong working relationships with customers and internal company constituents to ensure effective communications and the timely resolution of issues that impair and/or slow down the collections of receivables
  • Prepare and maintain timely and accurate receivables aging records and reports structured by product line and nature of collection issue (i.e. lack of purchase order, valid dispute, etc.)
  • Prepare and analyze reports to help identify trends, implement continuous quality improvement initiatives, and identify areas that require internal attention, training or development
  • Assist in preparing cash collection forecasts as needed
  • Develop a solid understanding of the company’s existing processes / workflows and partner with internal departments and personnel (such as Sales, Sales Ops, Legal, Accounting, etc..) to ensure a highly efficient, streamlined and effective end-to-end credit risk assessment and collections process and recommend changes accordingly
  • Proactively review and resolve client-billing problems and concerns as required and work closely with the Billing Department to implement policies and processes that ensure accurate invoicing
  • Flag any customer issues or problems on an individual or pervasive basis to management as appropriate.
  • Develop and maintatin an effective and efficient customer credit assessment process
  • Develop, implement and monitor credit & collections policies and procedures that support the objectives of the department and the company
  • Develop and maintain a consistent cadence of follow up email and/or telephone communications with customers with past due accounts
  • Investigate the feasibility / applicability of a 3rd party collections cadence software tool
  • When necessary, transition accounts to designated collection agencies and monitor progress accordingly
  • On a monthly basis, review and recommend bad debt reserves and write offs with the company’s Corporate Controller
  • Develop and maintain credit card merchant accounts including monthly reconciliations, deposit verification, and work with merchants to understand and respond to all chargeback inquiries
  • Assist in developing monthly cash reconciliations
  • Remain current on current collection industry technology, trends, regulations, and best practices

  • Ability to effectively multitask and work multiple accounts and issues under tight time constraints
  • Proficiency with Microsoft Office for Windows (Outlook, Word, and Excel) and familiarity with NetSuite or a similar ERP platform
  • The drive, desire and enthusiasm necessary to develop a “best in class” department

Education & Experience Requirements:

  • A 4-year college degree in a relevant field or completion of a specialized course of study at a business or trade school
  • A minimum of 3-5 years of similar or related experience in credit and collections
  • Credit assessment and evaluation experience preferred
