Description

Whereoware is seeking a skilled and experienced Internal Operations Specialist to join our dynamic team. This role will help maintain and grow the efficiency of our organizational processes. You will collaborate with cross-functional teams to monitor policies to improve productivity and efficiency levels. The ideal candidate thrives in a fast-paced environment, enjoys working behind the scenes, and excels at collaboration, organization, and problem-solving.
 
Key Responsibilities: 
  • Act as the internal administrator for JIRA and SharePoint, managing permissions, maintaining system integrity, and assisting team members on best practices.
  • Manage and configure user access for internal tools (JIRA, SharePoint, Forecast, ADP, etc.), ensuring appropriate security settings and compliance.
  • Conduct regular user audits of platforms to maintain data accuracy and compliance.
  • Provide backup support for IT-related tasks and platform administration as needed.
  • Create and manage JIRA boards, workflows, and configurations to support efficient project tracking.
  • Ensure all project details are finalized, verify resource allocation, update JIRA, and confirm data integrity.
  • Support PMs in resource allocation, utilization tracking, facilitate resourcing discussions, and escalate capacity concerns to leadership.
  • Collaborate with HR to identify skill gaps, capacity issues, and new staffing needs.
  • Monitor, review, and ensure timely and accurate timesheet submissions. Follow up on outstanding timesheets and escalate issues as needed.
  • Provide onboarding/offboarding support.
  • Maintain and upgrade Standard Operating Procedures (SOPs) for internal processes to improve efficiency and consistency.
 
Qualifications: 
  • Bachelor’s degree in business or a related field (or equivalent work experience).
  • Minimum of 3 years’ experience in a similar Operational role.
  • Minimum of 2 years of experience acting as the administrator for at least 2 of the systems listed above.
  • Minimum of 2 years of experience supporting operations at a digital agency or other professional services company.
  • Strong written and verbal communication skills.
  • Ability to multi-task, prioritize, and adapt to shifting deadlines in a fast-paced environment.
  • Experience working with leadership and cross-functional teams.
