Regional Maintenance Manager (RMM) | New York City (NYC) / New Jersey (NJ) - Windsor Communities

This position is based in the NYC/NJ area and requires the candidate to reside within a reasonable commuting distance, ideally within 60 to 90 minutes of the properties, with the highest concentration located in Manhattan at Waterline Square, The Ashley, and The Aldyn.

One of the most successful private companies in the multifamily industry is seeking a Regional Maintenance Manager (RMM) for the New York City and New Jersey portfolio. The successful candidate will help oversee a group of 5 Class A Luxury properties in New York City’s Upper West Side, and 5 Class A properties in river-front areas from Fort Lee to Jersey City.   
  
The company is a fully vertically integrated developer, owner, and manager of 150 class A and B+ rental communities in major markets across 16 states, with total portfolio of approximately 48,000 units. The company has an active development and acquisition pipeline.

Summary:
 
Maintain a high level of quality and efficiency in all aspects of maintenance operations within the assigned group of properties, including budgeting, planning and scheduling, inspecting, technical assistance, reporting, purchasing and other tasks to achieve market objectives for the region. 
 
Responsibilities:
 
Safety 
  • Act as safety ambassador and promote a strong safety culture throughout the region.
  • Lead and participate in regular safety education meetings, regionally or at property level.
  • Monitor the compliance of safe work practices and use of PPE in the field.
  • Participate as member of emergency response teams in the event of natural disasters.
  • Hold minimum of OSHA 10 certification, or obtain within 90 days of hire.
  • Activate and coordinate emergency response teams in the event of natural disasters or major loss events. 
Technical Skills 
  • Maintain baseline knowledge of construction drawings and documents, including architectural, MEP, construction manuals and product specifications.
  • Identify building defects, and propose suitable solutions, and approximation of costs.
  • Assist in creating scopes of work for CapEx projects, manage competitive bidding process and help identify the most suitable contractor.
  • Contribute to the successful completion of CapEx projects.
  • Oversee the implementation of routine and special projects by site teams.
  • Experience with Yardi or other core property management software - able to create reports and analyze property performance metrics related to work order completion, turnover, and preventive maintenance.
  • Ensure that building systems, elements, and components are maintained and serviced according to industry standards and manufacturer requirements.
  • Inspect properties and ensure that curb appeal, cleaning, and general maintenance are being performed according to company policies and procedures.
  • Provide technical assistance on maintenance-related items.
  • Assist with various groups on asset acquisition and disposition.
  • Manage any violations issued, including understanding root-cause and implementation of solutions (For NYC).
  • Manage compliance with Local Laws, as introduced and amended, including changes to operations/practices and reporting (For NYC).
  • Demonstrate strong problem-solving and creative thinking skills by proactively identifying solutions and taking initiative.
  • Perform other duties, responsibilities and special projects as required.
Procurement and Contracting     
  • Work in conjunction with the Procurement team to optimize negotiated relationships; ensure that site teams comply with procurement policies and procedures.
Communication 
  • Describe problematic physical conditions to non-technical team members.
  • Speak on an equal technical level with contractors and design professionals when discussing existing conditions and proposed designs or solutions.
  • Communicate professionally and respectfully with all company associates, both in writing and conversation.
  • Communicate openly and frequently with key stakeholders to keep them apprised of portfolio status. 
Leadership & Team Building 
  • Help foster an inclusive working environment; demonstrate and embody trust and respect, lead by example.
  • Schedule associates and contract service providers to optimize use of time and skillset, including establishing and reviewing block schedules.
  • Coach and mentor Service Managers, provide support on technical issues, and help them develop professionally and personally.
  • Present ideas during formal and informal ‘best practice’ planning sessions focused on improving operational efficiency.
  • Support the SVP of Engineering with implementation of company maintenance initiatives.
Financial 
  • Participate in the annual budget process, including costs for MRO and 7-year projection of capital needs.
  • Perform quarterly review of expenses related to maintenance, capital projects, and third-party contracted services, update plans and projections accordingly.
  • Maintain accountability for property performance. 
Travel 
  • Local travel within market area.
Qualifications:
  • Minimum of 5 years related experience in multi-family maintenance with progression from site to multi-site and regional/area management.
  • Candidate will demonstrate completion of industry training courses. Education from technical/vocational college is an advantage but not required.
Compensation:
  • Our company considers a range of factors including education and experience when determining base compensation.
  • Compensation range: $145K - $180K with a 20% bonus potential.
