ABOUT THE OPPORTUNITY
Assistant to the President of Wind River KK is an essential support role for Japan sales team by acting as liaison for functional teams within Japan organization, as well as company executives at HQ, managers, consultants, and customers utilizing your excellent organizational, interpersonal, and communication skills.
Your high level of proficiency with Microsoft Office applications and Outlook will be invaluable, as well as your orientation to detail, excellent follow-through, and ability to effectively prioritize work, as you efficiently manage/coordinate simultaneous projects and successfully prioritize tasks.
The ideal candidate will be expected to work independently with good judgment and minimal direction.
RESPONSIBILITIES
  • Help plan and attend staff meetings, keep minutes, document action items, organize follow-up activities, and check in with various team members between meetings.
  • Coordinate and/or distribute any pre-reads/outside materials.
  • Extensive calendar management including scheduling meetings with internal and external participants.  Judge complex and fluid scheduling around meetings, presentations, travel, customer engagements and interviews.
  • Experience and ability to plan, manage and execute a wide variety of events from start to finish (off-sites, team meetings, meals, parties, etc.) within a prescribed budget.
  • Coordinate travel arrangements both domestic and international
  • Ensure speedy turnaround of all corporate documents requiring signature
  • Prepare expense reports
  • Participate in purchase order process, monitor budgets and handle other accounting related activities as needed
  • Maintain organizational charts

Qualifications
  • Bachelor's degree
  • Minimum of 3 years in a similar role or related experience
  • Strong knowledge of MS Office Suite (Outlook, Excel, Word, PowerPoint)
  • Experience coordinating complicated travel arrangements, domestic and international
  • Professional manner and ability to represent the company’s leaders effectively
  • Strong in multi-tasking; ability to prioritize multiple tasks with good judgment
  • Proven skills in project management and event coordination
  • Good attention to detail
  • Experience working with highly confidential information in a corporate setting is required
  • Excellent verbal and written skills
  • Native level of Japanese
  • Good command of English (TOEIC 750+)
