Wilsonart currently has an opening for an Office Manager for our Los Angeles Location.  This role will Supervise all office functions in the assigned department/location.

JOB SUMMARY
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
           
  • Oversees the inventory control and accounting functions of assigned department/location.  Works with System Support to put in new SKUs as needed.  Works with the Distribution Manager to ensure product mix and inventory levels are correct.  Checking in the truck driver’s paperwork, uploading customer checks by running them through the scanner for deposit, Credit Card Reconciling and posting, as well as managing Will Call/ walk up customers and phone calls.  
  • Oversees the preparation of all required documentation for shipments. All Infor customer Tickets going out and coming in including RGA’s.  
  • Performs sales analysis and other financial analysis. Must use the Infor system and report manager to effectively run reports for third party products such as Cabinets, and VTI Tops, Karran sinks, C-Chem, and other products as needed.  The Office Manager also needs to have a working knowledge as to how these materials are shipped in and out and priced, when freight is applied, and when any of these items have a change to ordering or cost.
  • Supervises activities of office personnel. Work with Customer Service to ensure that any special instructions or processes related to the warehouse, or its customers are understood and followed. 
  • Coordinates production schedule at plant location. Work with plant liaison to ensure proper flow and communication is maintained regarding special order material and special-order shipments.
  • Effectively manage and update shipments to all home centers customers. Ensure shipments ship on assigned ship date & paperwork is completed correctly. Lastly, avoid fines from home center customers for non-compliance. 
  • Coordinates shipping/receiving functions. Work with the office personnel to ensure we are receiving and shipping accurately and following company accounting policies related to shipping and receiving.
  • Maintains the credit files, issue and approves purchase orders. Ensure that the process associated with these functions are completed within accounting policies.
  • Assists the needs of the customer.  Provide outstanding customer service to all walkup customers at the warehouse.  This person is also responsible for handling and routing all in- bound phone calls to the appropriate team member.
  • Performs other duties as assigned
 
KNOWLEDGE, SKILLS, AND ABILITIES
     
  • Knowledge of inventory control and basic accounting principles. 
  • Knowledge of computers sufficient to utilize word processing, spreadsheets, and databases. 
  • Ability to lead people and manage multiple projects.
  • Ability to communicate well in oral and written forms at all levels of the organization. 
  • Ability to organize and prioritize administrative activities. 
     
    MINIMUM REQUIREMENTS
     
    EDUCATION: 
    High School Diploma/GED, Bachelor’s degree is Business or similar field if preferred but not required.
     
    EXPERIENCE:  
    2+ years of experience working in an Office Manager or Team Leader role, supervising customer service.  Building products experience is a plus.
