Summary 

The Administrative Assistant is responsible for specific daily clerical Parts & Service functions while maintaining a high level of customer satisfaction.  The position is also to assist with general administrative and clerical duties throughout the branch. 

Essential Functions

  • Performs the general secretarial duties of the branch including such items as typing, filing, scheduling, travel arrangements, inputting, maintaining and updating customer accounts and setups in the database, invoicing, creating reports and other clerical functions as assigned by the GBO Branch Manager.
  • Handle incoming calls and direct appropriately.
  • Maintains the image and reputation of the GBO Branch in terms of professionalism, courtesy, appearance, customer satisfaction, etc.
  • Assists other managers with clerical projects, confidential information and/or other duties as assigned.
  • Assist in processing technician labor hours through various time collection systems and in DBS.
  • Assist with opening and closing work orders as needed.
  • Issue PO’s to vendors assigning to proper cost centers and/or applying to work orders.
  • Performs related duties as required.

Qualifications

Education and/or Experience

  • High School graduate or equivalent.
  • A minimum of 3 years of administrative, keyboarding and computer experience in a multiple person office or the equivalent, with the ability to use Microsoft Office software and a strong aptitude to learn new computer systems as required. 
  • Excellent communication and interpersonal skills including verbal, written and listening skills.
  • Excellent analytical skills, including the ability to interpret and apply policies, procedures, guidelines and laws, problem solving skills and reading, spelling and mathematical skills.
  • Excellent customer service skills.

The noise level in some work environments is occasionally loud.
