Title: Commercial Administrative Assistant
Reports to: Commercial Asset Manager
Salary: $44,000 - $50,000, depending on experience
Position Summary:

The Commercial Administrative Assistant will provide prompt and efficient administrative support for the commercial property management department. This position will be part of team that is responsible for the day-to-day operations of Weidner’s commercial assets. In addition, the Commercial Administrative Assistant needs to be accountable and attentive to provide excellent customer service skills when interacting with residents, associates and vendors.
Primary Responsibilities:
ACCOUNTING
- Accounts Payable coding
- Posting accounts receivable and processing receivable deposits
- Process utility bill backs
- Prepare late rent notices
- Contact tenants that have past due balances
- Access late fees to tenant ledger
ADMINISTRATIVE
- New vendor paperwork
- Manage work order system once Facilities Manager is implemented
- Keep emergency reference documents up to date
- Ensure all tenants are conducting preventative maintenance when required and obtain a current copy of service reports for our records
- Ensure all tenant insurance requirements are met and the document on file is current
- Respond to all inquiries regarding Commercial Café (tenant payment portal)
- New acquisition change of ownership tenant letters
- Assist with setting up new properties
- Create folders for new leases
- Manage commercialap and commercialLa mailboxes
- Filing, electronic and paper systems
Qualifications:
- Previous office administrative experience preferred
- Experienced in Microsoft products required (Word, Excel and Outlook)
- Strong work ethic, positive attitude, and good judgement
- Desire to work as part of a team with a strong focus on customer service for tenant needs
- Excellent communication and listening abilities
- Strong organizational skills; ability to manage projects effectively and on-time
- Ability to exercise discretion and maintain confidentiality
- Strong analytical and detail-oriented abilities
- Ability to handle multiple tasks/assignments simultaneously
- Strong written and verbal communication skills
- Ability to work in a fast-paced environment with strong motivation to learn & contribute on a daily basis
- Able to give professional directions clearly in person, over the phone, email, and text
- Work effectively and cooperatively in a team environment and/or independently
- Follow Weidner’s Mission, Vision and Values and comply with all of Weidner’s policies and procedures as outlined in the Associate Handbook and Policy and Procedure Manual, as well as the Fair Housing rules and regulations
- Prompt with regular attendance and maintain a professional appearance at all times while on duty
- Must agree to a criminal background check and sign an agreement for voluntary drug testing
- Valid and current driver’s license
- Ability to work 5 days a week in the Kirkland home office
