Job Description:

MedscapeLIVE! is looking for a Senior Manager, Event Planning who is responsible for managing the logistics for multi-day conferences while collaborating with key stakeholders to ensure flawless execution of each event. The applicant should be a highly organized and detail-oriented with the ability to prioritize and excel in a deadline driven environment. The applicant should also have excellent problem-solving, critical thinking, and conflict resolution skills, and be adept at internalizing and distilling issues and providing real-time guidance to team members.

Tasks and responsibilities:

  • Lead and manage the events team to ensure flawless execution of proprietary conferences within the US
  • Oversee the sourcing process to identify viable options that not only fit conference specs but offers flexibility in terms of contract negotiations, meeting space, sleeping rooms, food & beverage, and AV
  • Prepare draft budgets for conferences based on venue costs, event schedule, and historical performance
  • Venue management including but not limited to arranging guest sleeping rooms, meeting space, food & beverage, and meeting materials
  • Evaluate the experience, feedback and results for each conference and recommend changes to implement for future events
  • Attend conferences as the onsite events lead to oversee logistical details with the hotel and onsite staff
  • Ensure planned expenses are tracked and updated in the system for proper forecasting and reconciliation
  • Ensure all event reconciliations are completed on-time and cost savings are tracked/reported
  • Train all staff including freelancers on the Proprietary Conference business and internal processes surrounding the planning and onsite execution of these events
  • Adhere to the internal processes surrounding the planning and onsite execution of the Proprietary Conference events
  • Continuously identify opportunities to improve internal processes and the onsite attendee experience
  • Participate in available training opportunities as directed by leadership

Qualifications:

  • CMP certification highly recommended
  • Minimum 7 years’ experience required in conference/event planning, preferably in the healthcare industry
  • Minimum 3 years’ experience managing or supervising a team of event professionals of 3 or more
  • Experience planning and managing multi-day events up to 500 attendees
  • Expert knowledge of MS Excel and all other Microsoft office software
  • Working knowledge of Google Applications
  • Must have strong written and verbal communication skills
  • Knowledge of Workfront is a plus
  • Domestic travel required, up to 40% travel time, including nights and weekends
