Role Overview
The Senior Staffing Manager will oversee the staffing strategy and resource allocation for Medscape Medical Affairs Scientific Services, to ensure timely delivery of high-quality scientific content. This role will coordinate internal and freelance staffing across Medical Science Directors (MSDs), medical writers, editors, content associates, and creative staff to meet client deadlines. The role will also manage relationships with freelance/contract agencies and any outsourced content development partners or boutique agencies, ensuring operational efficiency, scalability, and high-quality output.
Key Responsibilities
Staffing & Resource Management
- Oversee staffing and allocation of work for MSDs, medical writers, editors, and creative staff, ensuring deliverables are staffed as they are sold.
- Manage the team-based staffing model to maximize efficiency, time-zone coverage, and responsiveness to client needs.
- Monitor capacity, utilization, and performance metrics to proactively identify staffing gaps or over-allocation risks.
- Coordinate internal and freelance resources to balance workload and meet deadlines for a growing volume of deliverables.
- Partner with the Executive Director, Scientific Services and Medical Affairs Leadership to forecast staffing needs based on portfolio growth and program backlog.
- Freelancer & Agency Management
- Own the acquisition, onboarding, and management of freelance medical writers, medical editors, and scientific content specialists.
- Maintain strong relationships with freelance and contract agencies, ensuring a reliable bench of qualified talent.
- Manage outsourced content development relationships with agencies or boutique vendors, negotiate contracts, ensure compliance, and monitor performance.
- Continuously refresh the roster of freelance and agency partners to align with evolving business and therapeutic area needs.
- Quality & Operational Excellence
- Ensure quality and timeliness of all deliverables through effective staffing and collaboration with Medical Editors, Medical Scientific Directors, Creative Director, and Executive Director.
- Identify and implement process improvements in staffing, onboarding, and resource utilization.
- Cross-Functional Collaboration
- Partner with Project Management, Creative Services, Account Management, and Content Team to ensure staffing aligns with timelines, scope, and client requirements.
- Provide leadership with insights into staffing, resource constraints, and utilization trends.
- Communicate clear staffing recommendations, risks, and trade-offs to the Executive Director and Senior Leadership.
- Leadership & Influence
- Mentor and guide junior staffing or operations staff (if applicable).
- Serve as a subject matter expert on staffing strategy, freelance and agency management, and resource optimization.
Qualifications
Required
- 5–7+ years of experience in staffing/resource management, talent acquisition, operations, or project management—preferably in medical communications
- Experience managing freelance or contract talent pools.
- Experience managing relationships with agencies or outsourced content development partners.
- Strong understanding of content development workflows, deliverables, timelines, and quality expectations.
- Ability to manage multiple resource requirements and prioritize high-volume workloads (e.g., 200+ deliverables).
- Exceptional communication, organizational, and relationship-building skills.
- Familiarity with capacity planning tools, staffing systems, or project management platforms.
- Preferred
- Experience with matrix staffing models and team structures.
- Familiarity with the biopharma and medical communications landscapes.
Comp. range: $85,000.00 - $100,000.00 Depending on experience.
