Position Summary:

The Associate Director, Program Management for the Medical Affairs vertical of MedscapeLIVE is accountable for the operational planning and execution of a variety of live events including but not limited to advisory boards, symposia, and facilitated peer-to-peer programs. Primary responsibilities will include being a strategic partner to the Medical Affairs team, supporting Program Managers with assigned projects, developing budgets for live events in conjunction with procurement, attend weekly status meetings to provide an update on live events, and collaborate with the Operational Leader in Medical Affairs to track revenue and expenses.

 

What You’ll Do:

  • Be accountable for the program management function of live events for Medical Affairs
  • Develop program management tools, processes, templates and best practices for MA live events and champion their consistent use in order to develop SOPs for each product type
  • Provide program management mentorship and support around the execution of events
  • Work with MA Operations Leader to forecast and track revenue, in addition to, budget spend at the program level
  • Partner with procurement in developing final budgets for MA live events
  • Champion a planning culture of proactive anticipation of strategies and tactics that will support MedscapeLIVE and Medical Affairs objectives
  • Be the escalation point for resolution for project implementation issues and conflict resolution
  • Use our web-based project management tool to predict staffing needs and assign resources to new projects
  • Support the team in executing projects during periods of high work volume
  • Track progress of all live events and present weekly status to the Medical Affairs team
  • Analyze progress reports to identify at risk projects and present solutions to mitigate delays
  • Provide guidance on the regulatory submission process for event collateral

Qualifications:

  • Bachelor’s Degree required / MBA preferred
  • 9+ years in operations and/or project management in the pharmaceutical/biotech industry. Medical affairs experience required. Agency experience is a plus.
  • Experience in regulatory submission process preferred
  • Experience planning and executing virtual and/or live events preferred
  • Project Management Professional (PMP) or Certified Meeting Professional (CMP) preferred
  • Excellent computer skills that includes working remotely on shared networks and cloud-based systems, and a high degree of proficiency using G-Suite (Gmail and Google Drive), in addition to, Microsoft Office suite (Word, PowerPoint and Excel)
  • Experience with web-based project management tools (such as Workfront, MS Project) preferred
