Business Assistant - Biomedical Engineering - Full Time 1.00 FTE - Day Shift

Salary Range: $32.35 - $43.68
Position Summary
The Business Assistant performs and provides non-clinical business support functions including, but not limited to, scheduling, staffing, and reporting for the assigned department. Frequently accomplishes projects by using computer programs. Participates as a departmental representative as assigned. In addition to performing the essential functions listed below, may also be assigned other duties as required
Qualifications
- High school graduate or equivalent required.
- Business college, Associate Degree or greater in business or computer systems credential for Microsoft programs; medical terminology desired.
- BLS certification required – American Heart Association Healthcare provider
- Previous healthcare experience as secretary, unit clerk, account representative, or executive assistant.
- Acute healthcare setting with knowledge of medical and surgical procedures and equipment.
- Ability to read, write and comprehend medical terminology.
- Emotional stamina to work in stressful environment.
- Effective communication skills in written and verbal performance.
- Staffing, timekeeping, and scheduling skills.
- Typing or keyboarding approximately 50 wpm.
- Working knowledge of the following computer programs: MS Excel, MS Outlook, MS PowerPoint, MS Word required.
- Willingness to learn: Adobe, Acrobat, MS Access, MS FrontPage, MS Publisher, MS Visio, computer applications as installed, Trendpath, ANSOS and others as needed.

- Performs systematic ongoing assessment of unit needs with focus on business function of unit and unit integration into Washington Health.
- Audits assigned processes and aggregates data for leadership review.
- Reviews institutional agenda, divisional business plan and unit goals and prepares reports related to ongoing needs and accomplishments.
- Utilizes available resources to problem solve effectively
- Completes timecard certifications in an efficient and qualitative matter
- Completes continuous equipment inventory entries in CMMS (i.e.: AIMS)
- Continuously files medical equipment records, and sustains accuracy in equipment inventory documentation needs
- Conduct monthly audits of equipment binders to ensure that the equipment records are up to date
- Process and submits medical equipment/ systems contract needs
- Reviews and process invoices received

- Performs timekeeping duties, equipment inventory entries in CMMS, equipment inventory filing, invoice processing, and observing memoranda of understanding for all employee classifications assigned.
- Demonstrates current knowledge appropriate instrumentation and equipment involving clinical services. Seeks professional help when unfamiliar with a specific equipment and/or customer needs.
- Has delegated autonomy in development and projection of schedules but requires appropriate authorization(s) as established by Director.
- Maintains appropriate records for review related to employee files and documents required to support the regulatory and compliant operation of the unit, within division guidelines and unit expectations.
- Releases information as required while maintaining confidentiality of records.
- Attends meetings as assigned. Schedules and publishes meetings. Records minutes and processes for distribution after review.

Planning & Coordinating
- Formulates a plan in collaboration with the Director that ensures that direct and indirect services are provided for the unit
- Functions to establish and review priorities of the units’ needs in an organized manner based on available resources of time, personnel, equipment and supplies.
- Adjusts time to accommodate needs of department.
- Collaborates with Director/designee regarding departmental equipment and staffing needs.
- Functions independently to establish and review priorities of the units' needs in an organized manner based on available resources of time, personnel, equipment and supplies
- Formulates a plan in collaboration with the Director and Senior Team Lead that ensures that direct and indirect services are provided for the unit
- Supports and may act as unit representative to Payroll to facilitate initial information entry and coordinates problem resolution for individual payroll corrections.
- Coordinates unit leadership’s calendar for appointments, interviews and ad hoc meetings as requested. May independently initiate calendar events within the unit only. Schedules other meetings as directed.
- Coordinates the ordering of supplies and carefully controls usage.
- Rejects incomplete paperwork for processing and check with Biomed leadership for guidance on completing such documentation needs
- Consults with Lead Biomedical Tech, or Director with questions and/or issues that need to be addressed
