The Operations Project Manager will be a member of the Global Operations and Program Management communities. The Operations Project Manager plays a central role in establishing, running, and optimizing core business systems and processes that enable our and our clients’ interdependent global operations to run effectively and efficiently.

Critical elements of the role

The Operations Project Manager ensures team members, clients, and 3rd parties are clear about expectations and are aligned & communicative so activities & deliverables are planned for & executed on time, on budget at the highest possible quality level.

Initial assignments include working to establish the Pharm’s automation and off-shoring capabilities, as well as the internal and external suite of collaboration platforms and ways of working.

 Specific responsibilities

  • Manage the definition, design, develop, deploy, and ongoing optimization phases of The Pharm’s automation and offshoring capabilities, as well as collaboration platforms and processes
  • Contribute to the development, use and optimization of the PMO’s delivery processes and toolsets, as well the Operations Team’s collaboration platforms
  • Develop detailed project plans and facilitate sessions to inform and align project stakeholders
  • Develop and/or ensure projects’ business, functional, technical requirements are developed at an appropriate level of depth and detail
  • Manage activities and deliverables utilizing fit-for-purpose toolsets (e.g. Kanban board, ticketing system) and processes (e.g. board grooming, sprint definition, relative estimates, demos, and retrospectives)
  • Track and report on project progress and risk via appropriate status tools, templates and methods
  • Conduct stand-up and/or status meetings
  • Collaborate with and manage vendors, third parties, and WPP providers (e.g. WPP IT)
  • Ensure Quality Assurance is planned for and carried out on all deliverables
  • Carry out risk avoidance, identification, documentation, mitigation, and management
  • Carry out retrospectives and/or post-mortems and/or lessons-learned sessions as needed
  • Contribute to the development and delivery of training materials and sessions
  • Contribute to the development and delivery of change management programs
Qualifications
  • 5+ years of experience in related roles in marketing, ad or mar-tech, media, software development, creative agency or consulting environments
  • Highly organized, detail and process/problem-solving oriented with an ability to perform under pressure
  • Ability effectively parse and balance the urgent and the important and prioritize those things that are have both characteristics
  • Ability to define, document, manage, and optimize workflows and processes
  • Ability to collaborate with a variety of stakeholders in a professional, authoritative manner, bring clarity to ambiguous situations and drive progress
  • Ability to plan, organize and run effective meetings and workstreams
  • Ability to communicate effectively and appropriately via a variety of mediums / modes (e.g. verbal, email, long-form, presentations, collaboration and project management platforms, etc.)
  • Experience & expertise working with client engagement teams, various disciplines (e.g. Creative, Strategy, Data), HR, commercial, and finance teams as well as with vendors and senior executives
  • Experience & expertise with full-lifecyle application development including: use case and requirements development, sprint planning,
  • Experience & expertise using project / process management and collaboration tools (e.g. Microsoft Project or Smartsheet, Trello or JIRA, SharePoint or Box, MS Teams or Slack, etc.)
  • Experience & expertise across the Microsoft Office suite with a specific strength using Excel
  • Experience managing across the range of waterfall and agile project management methodologies
  • Strong skills across the Microsoft Office suite, especially Excel
  • Ability to drive change and collaborate with, manage, inspire and influence others in the above areas
