VMLY&R is seeking an Associate Business Manager. As an Associate Business Manager, you will be responsible for the day-to-day management for an assigned portfolio of accounts in conjunction with Business Manager, Associate Client Finance Director and Client Services counterparts. General responsibilities include strong communications and working relationship with Account Management Team coordinating all financial aspects or needs of a client including, but not limited to, monthly invoicing/billing, accounts receivable and collections; inventory management, filing, maintenance of financial documents, monitoring actual costs to estimates, client reconciliations, monthly phasing, and other client reporting as requested.


  • Internal weekly report updates to Business Manager, Associate Client Finance Director and Account Management/Agency staff, highlighting key points to review.
  • Regular interaction and communications with Business Manager, Associate Client Finance Director and Account Management on open issues, such as status of jobs that have no estimate or are overestimate.
  • Job Management: work with Business Manager, Associate Client Finance Director and Project Management team on opening, locking, and closing jobs.
  • Client Billings: work with Business Managers and Associate Client Finance Director on timely and accurate processing of retainer fees, progressive and final bills along with all required support documentation, as well as processing transfers and write-offs. Provide draft bills to Account Management staff with backup for approval where applicable. Consolidate and maintain updated job files with appropriate support documentation.
  • Accounts Receivable: monitor collection of Client invoices according to client terms. Provide Business Manager, Associate Client Finance Director and Account Management with Accounts Receivable Aging Reports. Assist in making necessary calls/e-mails. Must effectively communicate with Associate Client Finance Director, internal staff and/or Clients to resolve past due receivables.
  • Inventory Management: review inventory levels weekly, and work with Business Manager, Associate Client Finance Director and Account Management to minimize unbilled inventory. Monitor actual costs to estimates, and alert appropriate staff when actuals exceed estimates, or anticipated to exceed estimates.
  • Monthly Phasing: work with Account Management, Business Manager and Associate Client Finance Director on monthly to go phasing.

Skills & Experience

  • One to two years of experience in public or private financial accounting (advertising agency experience a plus)
  • Equivalent work experience or Bachelor’s degree in business, finance, or accounting
  • Proficiency in Microsoft Office
  • Strong analytical skills
  • Extremely detailed-oriented
  • Effective written and oral communication skills
  • Strong time management skills
