Description

Perth Veterinary Specialists (PVS), a team of globally recognised experts and passionate life-savers, is seeking an organised, personable and positive Administration and Personnel Coordinator.    

The Administration and Personnel Coordinator is the key person in the organisation for keeping the lights on, the bills paid, and the team schedule running smoothly. The role is broad, and touches all other departments in the clinic, meaning that strong interpersonal skills are essential, as is a keen eye for detail and a passion for finding and implementing improvements.   

Duties include:   

  • Financial administration such as invoices, expenses, banking and reconciliations
  • Reporting on clinical, financial and operational metrics as well as communicating these with the team in a way that encourages engagement
  • Supporting the leadership team in administrative tasks as necessary such as documents, minutes, and meetings
  • Ensuring equipment, tools and infrastructure are running smoothly, repaired or replaced efficiently, and maintained regularly with minimal impact on operations
  • Facilitating new starters with the coordination of access to systems and tools to complete their job
  • Supporting each departments personnel by creating and communicating rosters, coordinating leave requests and coverage, approving timesheets and facilitating fortnightly payroll (in conjunction with centralised VetPartners support team)
  • Identify, research and coordinate improvements in our administrative processes and systems

About the perfect candidate:   

Essential:   

  • Strong administration background, including document control, reporting
  • Excellent interpersonal skills, with a commitment to building strong relationships across departments
  • A proactive approach to getting stuck in, finding solutions, taking the initiative, and problem solving new challenges that we don't have protocols or training in place for
  • Experience in identifying and implementing opportunities for continuous improvement of systems and / or processes, and engaging members of the team in the success of your change

Desired:   

  • Financial background
  • Strong interest in IT and/or equipment troubleshooting and support
  • Previous experience (and enjoyment of) rostering, timesheets and/or payroll
