THE OPPORTUNITY
We are seeking a highly organized, detail-oriented, and dynamic professional to join our team as an Office and Business Systems Administrator. Based in our vibrant Richmond Hill office, this role plays a pivotal part in overseeing day-to-day office operations, managing essential administrative tasks, and working closely with IT in supporting business systems to enhance workplace efficiency.
In addition to managing office operations in Richmond Hill, this role provides centralized administrative support across our corporate offices in both Richmond Hill and Houston, working closely with the HR team and the US Office Manager. The Office and Business Systems Administrator will ensure smooth office management while also maintaining and optimizing digital workplace tools such as SharePoint, Power Automate, and other business applications. This role fosters a positive, engaging, and supportive work environment, acting as a key liaison between administrative functions and technology-driven process improvements.
This position offers the potential to evolve into a permanent role, providing a unique opportunity for career growth and long-term stability. This opportunity offers flexibility in work hours, in-office days, and a hybrid schedule, with a minimum of two (2) in-office days per week and the option for a four-day hybrid work week. Employees can balance remote and on-site work while ensuring availability for meetings, team collaborations, and events as needed.
KEY JOB RESPONSIBILITIES
Office Management & Operations (35%)
- Provide centralized administrative support for Richmond Hill and Houston corporate offices, collaborating with the HR team and US Office Manager.
- Manage the front desk, reception area, and office logistics, including mail handling, visitor coordination, and supply inventory.
- Assist with meeting coordination, including room bookings, catering, and desk booking software.
Event Coordination (35%)
- Support planning and execution of company events, meetings, and employee engagement initiatives, ensuring seamless logistics and a positive experience.
Business Systems Administration & Technical Support (30%)
- Manage and optimize SharePoint sites and Power Automate workflows to improve business processes and workflow automation.
- Assist with data reporting, analytics, and technical support to enhance operational efficiency and decision-making.
CANDIDATE PROFILE
- Experience in office administration, business systems administration, or a similar role.
- Strong knowledge of Microsoft 365 tools, including SharePoint, and MS-Teams.
- Experience managing office operations, vendor coordination, and administrative functions.
- Excellent organizational and multitasking skills, with strong attention to detail.
- Strong problem-solving skills with a process improvement mindset.
