What You'll Do
We're seeking dedicated Workshop Operations Support contractors to partner with the Curio Science Locals team during our high-volume season. You'll execute and manage virtual workshops, coordinate communications with faculty and participants, and produce client deliverables while maintaining our high standards for program execution. You'll play a critical role in distributing workload and ensuring reliable, timely delivery of all workshop operations.
A Day in the Life
Deliverables
- Execute and manage evening virtual workshops (up to 3x weekly per contractor)
- Provide real-time support and updates via greenrooms during workshops
- Coordinate with AV vendors as needed for seamless workshop execution
- Create faculty invitations for Account Coordinators to share with participants
- Generate 24-hour reminder emails for Account Coordinators to distribute to faculty
- Develop Content Advisor invitations for Account Coordinators to send
- Produce and format subscriber post-program deliverables for Account Coordinators to share with clients
- Review Salesforce screening questions and thresholds for each workshop feeding pending reports
- Cross-check recruitment sites to identify and resolve discrepancies
- Maintain quality control processes across all workshop operations
Core Responsibilities
- Workshop Management: Lead virtual workshop execution with real-time problem-solving and vendor coordination
- Communications: Create and manage all faculty and participant communication touchpoints with precise timing
- Client Deliverables: Ensure accurate, professionally formatted post-program materials meet client expectations
- Quality Assurance: Implement systematic review processes for screening criteria and recruitment accuracy
- Operational Excellence: Maintain consistent service delivery across multiple concurrent workshops during peak season
What You Must Have
Education and Experience
- 1+ years in workshop operations, event management, or client-facing program coordination
- Experience managing virtual events or workshops, preferably in healthcare, pharmaceutical, or professional education sectors
- Proven track record of handling multiple concurrent projects with strict deadlines and quality requirements
Skills and Competencies
- Strong proficiency with Salesforce CRM and screening/reporting functionalities
- Experience with virtual workshop platforms and AV vendor coordination
- Excellent written communication skills for creating professional invitations and reminder communications
- Detail-oriented approach to quality control processes and cross-checking systems
- Comfortable working evening hours (up to 3x weekly) to accommodate workshop schedules
- Ability to work independently while maintaining team coordination and communication standards
- Experience with post-program deliverable creation and client-ready formatting
- Strong stakeholder management skills to interface with Account Coordinators, faculty, and participants
- Familiarity with recruitment site management and discrepancy identification preferred
