University Medical Partners (UMP) formed in January 2017 by physicians currently practicing within several separate medical groups in the Bay Area to create a unified multi-specialty physician practice and clinical network that will serve as an exemplar for the delivery of high-quality health services in the Bay Area. 
 
UMP Practitioners deliver care at clinics operated by Stanford Medicine Partners (SMP), a medical foundation affiliated with Stanford University throughout the Bay Area. 

POSITION TITLE: Regional HR Specialist I 

REPORTS TO: Associate Director, People
 
WORK LOCATION(S):  Hybird, 1-2 days per week on-site at UMP Corporate Office (Newark, CA); travel to various clinic locations required
                                                           
PURPOSE STATEMENT: As a member of the UMP Management Services Team, the Regional HR Specialist I is responsible for supporting a variety of human resources functions, with a primary focus on benefits administration, onboarding, offboarding, and general employee support. This role will also assist in employee leaves as part of a broader scope of HR responsibilities. The ideal candidate is organized, detail-oriented, and has strong communication skills to provide high-quality support to both UMP clinicians and the People team.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES: The essential duties of this position include the following (other duties may be assigned):
 
  • Assist clinicians with benefits programs, including health insurance, retirement plans, wellness programs, and other offerings.
  • Coordinate onboarding efforts effectively using the HRIS platform.
  • Support the annual benefits enrollment process by coordinating communication and educational materials for clinicians and employees.
  • Address benefits-related questions and concerns, ensuring accurate and timely resolution.
  • Collaborate with other HR Specialists to serve as a resource for new hires, guiding them through benefits enrollment, HR policies, and UMP’s culture.
  • Coordinate the new hire onboarding process, including preparing materials, conducting orientations, and ensuring completion of all required documentation.
  • Assist in the offboarding process including coordinating final benefits and payroll adjustment with the payroll specialist, collecting UMP’s property, and ensuring a smooth transition for departing clinicians and employees.
  • Work closely with Associate, Director of People to administer employee leaves of absence (FMLA, CFRA, parental leave, etc.) as needed, ensuring compliance with applicable laws and company policies. Provide guidance on leave options, rights, and responsibilities.
  • Track leave balances and ensure accurate coordination with payroll (include Finance).
  • Respond to employee inquiries related to HR policies, benefits, onboarding, and general employment matters.
  • Maintain accurate employee records within the system, ensuring data accuracy and confidentiality.
  • Collaborate with the HR team to develop and improve HR processes, enhancing the overall employee experience.
  • Conduct regular audits of the HRIS platform to ensure data accuracy, compliance with UMP’s standards, and optimal system functionality. Identify and address any discrepancies, and implement improvements as needed.
  • Stay updated on relevant HR laws and trends to ensure compliance and best practices.
  • Performs other related duties as assigned.

Experience and qualifications: 
 
  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Two (2) years of work experience as a HR specialist.
  • Proficiency in Microsoft Word, PowerPoint, and other Microsoft Office software.
  • Familiarity with FMLA, CFRA, ADA, and other leave laws in State of CA is a plus.
  • High level of verbal and written communication skills with a strong capacity for detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills necessary in order develop and maintain collaborative relationships with management and physicians.
  • Proven ability to work independently to produce accurate work of the highest quality.
  • Working knowledge of physician practice and/or medical group experience desirable, but not required.
