How we LEAD: 

UMG is hiring for an Executive Assistant to support a C-level executive in the company located in the Santa Monica Office. The ideal candidate will have experience supporting a C-level executive and/or high-profile celebrity and have great judgement with discretion and confidentiality.

How you’ll CREATE:

  • Manage complex and frequently fluctuating schedules, including scheduling meetings, coordinating calls – both domestic and international, prioritizing calendars and following up
  • Process travel and entertainment expenses
  • Coordinate and book complex and frequent travel – international as well as domestic; prepare itineraries
  • Coordinate and prioritize incoming meeting requests
  • Liaise between Executive and other important executives/clients for scheduling
  • Personal assistant duties include but not limited to managing house vendors, planning family vacations and functions, running errands, and other personal family matters
  • Manage project deadlines, including keeping organized status reports
  • Assist with organizing meetings and event planning
  • Provide administrative and operational support
  • Typical hours: M-F 8 AM – 6 PM with some OT as needed

Bring your VIBE:

  • 4+ years of experience for C-level executive or high-net-worth individual/high profile celebrity
  • Proven sense of urgency
  • Resourceful skills with significant experience in providing hands-on research and assistance
  • Proficiency in MS Office, Outlook scheduling, Skype for Business
  • Experience with coordinating international/domestic travel
  • Handle confidential information in a discreet manner
  • Exceptional organizational and time management skills
  • Professional and proactive
  • Excellent written and verbal communication skills
  • Previous experience working with a music label, preferred
  • Ability to interact comfortably and effectively with employees of our company at all levels
  • Must be highly organized and forward-thinking
