File Room Coordinator I

About the Position
This is a great opportunity for someone who enjoys working in an office setting independently and within a fun and supportive team handling the day to day tasks of a responsible File Room Coordinator. Success in this role comes to those with excellent organizational skills, is detail oriented, has the ability to prioritize but be flexible with the demands of the day, maintain company lease files, and assist management as required.
THIS IS A FULLY ONSITE POSITION AT OUR FEDERAL WAY, WA OFFICE.
Responsibilities include, but are not limited to:
- Maintains existing file system and efficiently files and retrieves lease files and documents as required or requested in a timely and accurate manner.
- Scans and indexes miscellaneous documents accurately and timely as necessary. Disposing or filing the documents according to department procedure.
- Works as a liaison between departments and outsourcing company to ensure all file destruction is kept up to date. Ensures the companies list of destruction documents and boxes are kept up to date.
- Prepares boxes of disposed files to be stored off site with outsourcing company. Orders the pick-up and return of boxes with outsourcing company when needed.
- Maintains professional relationship with outsourcing company and review billing statements.
- Prepares and organizes disposed files, transfers disposed files according to procedures.
- Processes all incoming and outgoing mail and assist in the process of the overnight packages when needed.
- Maintains work area in a neat and well-organized manner to allow for prompt location and retrieval of files.
- Ensures loose documentation is appropriately stored.
- Provides highest level of Customer Service to all lessees, vendors, brokers and staff.
- Demonstrates compliance in assigned job function and applies to designated job responsibilities. Takes personal initiative following all policies and procedures, Bank Secrecy Act, compliance regulations, and completes all required and job-specific training. Raises and/or addresses compliance issues for evaluation, investigation and resolution
- Regular and predictable attendance and punctuality.
- Performs all other duties as assigned by management.

Required Knowledge, Skills and Abilities:
- Must be a high school graduate or equivalent
- Title work experience
- Must present oneself in a professional manner
- Must be proactive and adhere to all company policies including Bank Secrecy Act and compliance regulations
- Must maintain confidentiality of all company information
- Must provide exceptional customer service and support to our customers, partners and all levels of staff
- Must have working knowledge of Microsoft applications (Outlook, Word, Excel)
- Strong data entry skills
Primary Physical Requirements:
- Lift up to 10 pounds: Occasionally may be required to lift and carry boxes weighing up to 10 pounds.
- Lift 11 – 25 pounds: Occasionally may be required to lift and carry boxes weighing up to 25 pounds.
- Lift 26 – 35 pounds: Occasionally may be required to lift and carry boxes weighing up to 35 pounds.
- Reach above shoulder height: May occur when placing files on shelves.
- Reach at shoulder height: Frequently occurs when placing files on shelves.
- Reach below shoulder height: May occur when placing files on shelves.
- Grasping and Handling: Consistently while handing new and disposed files, processing mail and overnights daily.

Compensation and Benefits:
We offer a competitive total rewards package including base salary and comprehensive benefits. The annualized range for this role is $37,440.00 - $43,056.00, and the pay rate for the successful applicant depends on a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, and education. The role may be eligible for performance-based incentive compensation and those details will be provided during the recruitment process.
