Position Summary:

The Department Assistant assists and supports department staff and patients.  Provides customer service in the department and the community.   

 
Major Responsibilities:

Coordinates work flow between the department and Central Scheduling.

Reviews patient referrals, enters information into department database and referral book, contacts MD for any missing labs or looks up labs in Quest, Meditech, or EMR. Then sends pertinent patient info to Central Scheduling to be booked.

Must have knowledge of how to utilize Scheduling Software.

Prepares office supplies; blank patient charts, ordering of office supplies, class packets and print shop requisitions.

Completes patient charges and records all no shows and cancellations in EMR.

Compiles information and completes patient charts once the appointment is booked and sends appropriate letters to providers for patients who do not show to the clinic or classes.

Books all subsequent patient visits in EMR for group classes and follow up appointment.

Verifies Mass Health Weekly on all patients.

Files, labels and faxes any pertinent information weekly.

Pulls charts for following week and insures all information in the chart is up to date.

Takes responsibility for ensuring that all work outcomes satisfy the UMass Memorial Health System True North.

Complies with required health, safety and HIPAA requirements.
 
Respects diverse views and approaches and contributes in maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.
 
Performs other similar and related duties as required or directed.
 
All responsibilities are essential job functions unless noted otherwise. 

 

Position Qualifications:

Must have knowledge of EMR. Basic typing and computer skills including knowledge of Word and Excel programs. 

Interpersonal and organizational abilities to communicate effectively. 

Medical terminology familiarity required.

Must be able to function with minimum direction and multi task jobs efficiently. 

Must be able to read, write and speak clearly in English.
