Proposal Development Specialist - Enterprise Payments

Sales Yarmouth, Maine Troy, Michigan Lubbock, Texas Plano, Texas United States
Salary: USD 75000.00 - 90000.00 Annually

Description

The Proposal Writer & Specialist is responsible for the timely, compliant, and strategic development of high-quality proposals, with primary focus on Enterprise Payments opportunities. This hybrid role combines persuasive proposal writing with end-to-end proposal coordination, helping Sales advance new and expanded business opportunities. As bandwidth allows, the role also supports other RFIs, RFPs, RFQs, and related proposal requests across the organization.

Responsibilities

  • Enterprise Payments focus: Build working knowledge of Enterprise Payments solutions, buyers, competitors, implementation considerations, and market trends to support accurate and differentiated responses.
  • End-to-end coordination: Manage assigned proposals from kickoff through final submission, including schedules, assignments, deadlines, document tracking, version control, reviews, approvals, production, submission, and tracking key data in CRM for reporting purposes.
  • Compliance and structure: Analyze solicitation requirements, establish the response outline and compliance framework, and ensure all instructions, forms, attachments, and submission requirements are addressed.
  • Cross-functional collaboration: Partner with Sales, product management, marketing, legal, implementation, security, finance, and other subject matter experts to gather inputs, resolve open issues, and maintain momentum.
  • Risk and status communication: Communicate progress, dependencies, risks, and outstanding decisions to proposal stakeholders, escalating issues early when deadlines or compliance may be affected.
  • Proposal strategy and writing: In collaboration with internal subject matter experts, develop clear, compelling, customer-focused boiler plate and proposal narratives by synthesizing approved content, subject matter expert input, product positioning, and opportunity-specific requirements.
  • Content and knowledge management: Create and maintain reusable content, proposal archives, and knowledge repositories to improve consistency, retrieval, and efficiency.
  • Editing and quality control: Review, edit, and proofread proposal materials for accuracy, clarity, consistency, professionalism, compliance, and alignment with strategic messaging and style standards.
  • Broader RFP support: Support non-Enterprise Payments proposal work, as capacity and business priorities allow.

Qualifications

  • Bachelor's degree in English, journalism, communications, marketing, business, or a related field, or comparable professional experience.
  • Experience in proposal writing, proposal coordination, sales enablement, or a related deadline-driven role; experience with technology, payments, or public sector procurement is preferred.
  • Strong professional and persuasive writing, editing, and verbal communication skills, including the ability to translate technical or operational concepts into clear customer-focused language.
  • Demonstrated ability to interpret complex solicitation requirements, organize compliant responses, and manage multiple projects and priorities simultaneously.
  • Exceptional attention to detail, quality control, organization, time management, problem solving, and follow-up.

  • Proficiency with Microsoft Word, Excel, PowerPoint, and SharePoint; experience with proposal automation, content management, or collaboration platforms such as Qvidian is preferred.
  • Familiarity with responsible use of generative AI in proposal workflows, including human validation, source verification, confidentiality, and approval controls, preferred.
