The primary focus of this role is to take responsibility for the day to day administrative operations of the Warsaw Office, ensuring a professional and healthy work environment.  This role will work very closely with the Human Resources Department in Poland and will require exceptional administration, organizational and people skills.


Health and Safety Area Responsibilities:

  • Training of Trustwave's Poland staff in all Health and Safety areas as required by law.
  • Accident and injury at work prevention through training and analysis
  • Accident and injury at work process handling 
  • Initiating positive contacts with regulatory agencies and associations
  • Creating, distributing Health and Safety material including safety campaigns
  • Processing audits to ensure Trustwave safety procedures/policies and Health and Safety regulations are adhered to
  • Making sure the facility and office space is organized and managed according to Health and Safety regulations in Poland
  • All needed or ad hoc Health and Safety duties required by Polish Labour Code described in section X. 


Office Management (facilities-related) responsibilities:

  • Maintain equipment and office facilities by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operations etc.
  • Plan and prepare facility for client meetings, visits of employees from other Trustwave global offices, audits and training sessions.
  • Coordination of conference room bookings for events, training sessions
  • Cooperation with local Human Resources in organizing corporate events, meetings, and trainings
  • Collecting invoices from the suppliers and making notations for Finance Team.
  • Cover reception desk as assigned; answering calls, greeting & directing visitors upon arrival, coordination of incoming and outgoing post.
  • Assist with the coordination of office maintenance including ordering office supplies, checking stock to determine inventory levels, verifying orders with invoices etc.
  • Working with local suppliers and vendors on their services, terms and conditions etc
  • Ordering necessary office equipment (furniture etc) by following corporate approval path.
  • Being first point of contact for building property manager, building technical & cleaning services company etc. 


Key Skills Required:

  • Certificate of qualified Health and Safety specialist (as per Polish law) is a must
  • Excellent verbal and written communication skills; must be fluent in Polish and English
  • Proficient in MS Office – Microsoft Word/Excel/PowerPoint/Outlook
  • Flexibility to deal with ad hoc/urgent issues
  • Experience working in a large global company is preferred
  • Experience working as an Office Manager


Education:
We prefer college-educated applicants, but at minimum, high school diploma or equivalent is required for employment.
