To manage and take full responsibility for Trustwave’s EMEA payroll operations, based in Warsaw, Poland and support with payroll/finance operations. Manager is based in the U.S. Ensure each stage of the payroll process is properly actioned, that all staff are paid correctly; correct payments are processed, and appropriate information is provided to our benefits providers, HMRC and other statutory and pension scheme.

The EMEA Payroll Manager will also be required to support all payroll activities across EMEA, provide payroll data to internal departments and at times outsourced providers. Whilst ensuring cost effective management of their services.

 
Manage the Polish payroll, including:

  • Collection from managers information on overtime, night hours, duty service etc
  • Collection of all new hire, leaver, change of status form, awards notifications
  • Collection of referral bonus data
  • Preparation of overtime, duty service and night hours calculations
  • Running monthly absence report including taken PTO, sick leaves, other leaves from Dayforce
  • Preparation of breakdown of benefits (Allianz – medical cover and Social Fund – OK Systems) for monthly calculations
  • Pulling monthly general report for payroll provider including all above data together with salary, bonuses, awards, holiday equivalents, salary deductions etc
  • Answer all queries from external payroll provider in Poland – RSM KZWS Poland prior and post payroll monthly run.

 
Manage EMEA payroll, including: 

  • Collection of all new hire, leaver, change of status form, awards notifications
  • Collection of referral and commission bonus data
  • Running monthly absence reports including taken PTO, sick leaves, other leaves from Dayforce
  • Running and management of monthly timesheets, highlighting discrepancies and misalignments if any
  • Pulling monthly general report for Trustwave entities including all above data together with salary, bonuses, awards, holiday equivalents, salary deductions etc
  • Reconciliation of payroll data and benefit amendments on a monthly basis with benefits providers
  • Answer all queries from external payroll providers in EMEA (UK, Greece, Germany, Sweden, South Africa, Russia, New Zealand, Spain, Belgium) prior and post payroll monthly run.
  • To advise the management team, employees and line managers on issues of pay, tax, national insurance, pension and other voluntary deductions. This involves interpreting legislation and regulations of all relevant countries to ensure correct guidance is provided.
  • Take charge of the company benefit schemes, making sure EMEA wide medical, pension and bonus process are managed properly.
  • Working with the HR function by updating all benefits providers with any employee changes, approving and processing the monthly deductions. Manage the payroll input into systems; to continually review processes and working practices to ensure Trustwave maintains an up-to-date, effective payroll service whilst protecting payroll integrity and security
  • To liaise with external agencies e.g.HM Revenue and Customs, Treasury (and their European equivalents to plan new initiatives, verify information held by Trustwave in respect of employment, Tax, National Insurance and Pension schemes; ensure monthly and annual returns are correct and on time.
  • To proactively seek to improve processes, remove inefficiencies and update HR and the rest of payroll function, on changes to legislation and industry best practice.

 
Skills, Knowledge and Experience 

  • Minimum of 5-7 years’ experience of payroll management in an international organization
  • Good IT skills, experience of supporting implementation of new payroll systems beneficial
  • Extensive knowledge and understanding of payroll rules and regulations
  • Highly proficient in interpreting new rules and regulations as well as implementation of new processes
  • Ability to review and challenge historic process/ways of working to create streamlined practices
  • Ability to meet multiple and tight deadlines
  • Strong verbal and written communication skills
  • Strong organizational skills and liaise with multiple stakeholders in a professional manner
  • Appreciation for variances of processes/procedures in different countries and cultures
  • Respect for confidential information
  • Desirable: Educated to degree level, IPPM qualified to diploma level


Education:
We prefer college-educated applicants, but at minimum, high school diploma or equivalent is required for employment.
